Position Summary: We have an exciting opportunity to join our team as a Program Manager.
The Program Manager will assist in day to day operations in the education mission of the Department of Otolaryngology and reports directly to the Department Administrator. He/She will plan oversee and implement administrative services that support the activities and functions of the Fellowship programs as well as the Administrative Leadership positions of the departmental Vice Chairs . He/She/They will work closely with the Asst Program Director and Fellowship Program Directors to monitor compliance and manage recruitment educational advancement and engagement of fellows within the department
Job Responsibilities: FELLOWSHIPS Manages new and ongoing NST non standard training Programs FPRS Laryngology amp; Head and Neck Surgery as well as one ACGME accredited Fellowship Neurotology Ensures that the recruitment of fellows from the application review through hiring is coordinated and conforms to program medical school and hospital and ACGME regulations Assists with the coordination of interviews and other recruitment and training activities nbsp; Oversees documentation of fellows scheduling and timekeeping to ensure compliance with NYS regulations RRC requirements and NYUHC budget allocations Brings discrepancies to the attention of the Program Directors nbsp; Processes documentation and facilitate all correspondence related to recruitment/onboarding new and renewal credentialing NYU Bellevue and VA and immigration services Develops fellowship program policies and guidelines as needed for compliance and reviews Coordinate meetings and correspondences related to the fellowship program OPERATIONS MANAGEMENT AND FINANCE Assists with any programmatic and proposal changes for the above Fellowship; manage salary allocations and finances related to Fellowship personnel and annual budgets nbsp; Track and submit expense reimbursements scholarly activity and annual academic incentive programs Prepares and issues reports within established procedures Analyses findings/data and presents recommendations Prepares and review documents independently and generates status/progress reports for ongoing and pending program related projects Plans arranges outlines and drafts letters memos agendas presentations and reports ACADEMIC LEADERSHIP SUPPORT Provides administrative support to all faculty in leadership and Vice Chair roles within the Department including but not limited to calendar maintenance appointments and document preparation related to their academic role DEPARTMENTAL SUPPORT As part of the core administrative team assists in answering phone calls and directing visitors and callers as appropriate nbsp; Serves as point of contact for departmental events and courses within the education mission as appropriate
- Grants and IRB/OCT Prepares grant applications reports as to status of grants and proposal submission as required by the department if applicable including researching for donators and funding sources contacting connections searching grants requirements deadlines and might prepare the proposal Might develop business plans to identify areas of research and grant opportunities Identifies new funding opportunities and sources for research grants Prepares grants proposal coordinates reviews and compiles contracts and reviews and edits contents ; Initiates and manages grants Identifies items affecting the establishment or awarding of grants Follows up and coordinates resolution of all issues and resolves processing problems Collects and submits required paper work/ documents to IRB and/or to the office of clinical trials OCT Updates coordinates and monitors the IRB training
- Program Support Might recruit hire train and supervise clerical and administrative staff trainee and volunteers for the program and ensures all office policies and procedures are being implemented Might require nation wide recruitment for study participants phone screening data collection and records keeping
- Scheduling amp; Coordinating Organizes and coordinates schedules activities and special events Coordinates conference preparation activities checking and coordinating the logistics and technical support ordering food and other related activities May oversee staff assigned to this responsibility
- Participates in special projects and performs other duties as required
- Budget Participates in the development and administration of program budget Responsible for the budget management and resources allocation and assist the department with following up accounts payable/receivable accounts Reviews workflow and recommend improvement if applicable to ensure appropriate cycle times and efficiency
- Project/Program coordination Uses judgment to provide coordination for program activities to a program leader department or organizational unit in the planning preparation organization analyses coordination and delivering of projects and programs while working with internal and external parties to organize the various components needed to initiate run and conclude major programs Coordinates/Communicates program activities with concerned parties including vendors and users Develops prepares and revises training materials develops educational curriculum database management and ensures satisfaction of end users through surveys and other measurement tools Coordinates special technical trainings relative to program e g statistical software

- Research Activities Gathers collects data from different parties ensures accuracy and analyzes findings and presents recommendations as applicable Responds to requests for information summaries and data based on information compiled from various sources Plans develops materials and presentations for training and educational sessions departmental seminars and other activities
Minimum Qualifications: To qualify you must have a Bachelor's Degree in business administration health care administration or related field. Minimum of four years of progressively responsible related experience including program/project coordination or equivalent combination of education and experience. Proficiency in using various Microsoft Office applications such as World Excel Access Power Point and Outlook Familiar with Internet applications. Effective oral written communication interpersonal skills Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Time management skills and ability to work well under pressure. Ability to multi task and project management. Qualified candidates must be able to effectively communicate with all levels of the organization.

Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need.
