Summary

Are you a detail-oriented and proactive professional looking to play a key role in supporting senior leadership at a hospital? Were looking for an experienced Administrative Assistant to provide high-level administrative and coordinative support to our Board of Directors at the Gulf Coast Medical Center.

In this dynamic role, youll be responsible for a variety of essential functions that keep operations running smoothly and efficiently. From preparing reports and tracking budgets to organizing meetings and handling complex correspondence, youll make a meaningful impact on the organizations day-to-day activities while helping drive our mission to deliver excellent patient care.

Key Responsibilities: Provide comprehensive administrative support, including research, data compilation, and report preparation for the Board of Directors.Track and monitor departmental budgets, ensuring accuracy and timely reporting.Coordinate and schedule appointments, meetings, and conferences, and manage logistics for Board-related events.Prepare a variety of materials, including memoranda, agendas, contracts, technical charts, and other specialized documents.Establish office procedures and maintain filing systems to ensure efficiency and organization.Greet and direct visitors, manage phone calls, and provide exceptional customer service.May assist with timekeeping duties and perform other department-specific tasks as needed. What Were Looking For: Proven experience in administrative support or coordination, particularly in a senior-level or executive setting.Strong organizational and multitasking skills, with the ability to manage competing priorities and deadlines.Excellent communication skills, both written and verbal, with the ability to handle sensitive and confidential information.Experience with budget monitoring and tracking, as well as preparing reports and data analysis.Proficiency in office software (Microsoft Office Suite, scheduling tools, etc.) and the ability to adapt to new technologies.A professional and customer-focused demeanor, with a keen attention to detail.
