Responsibilities



  • Partner with stakeholders to understand show objectives, exhibit space and budget to recommend and develop convention/congress annual participation.
  • Coordinate w/ business to establish scope of Congress participation; estimated operational cost.
  • Develop and maintain annual budget planning/forecast in conjunction with Account Team
  • Submit CSI form to begin PO/approval process (US only).
  • Manage planning process from initial planning through debrief meeting at key congresses and conventions.
  • Create pertinent decks inclusive of updated content and renderings.
  • Provide Association deadlines, key decision deadlines throughout the planning cycle.
  • Help brainstorm, recommend and collaborate with partners to develop and deliver traffic builder solutions inclusive of pre-show, show-site and post-show marketing, measurement, virtual show, e-literature services and the like.
  • Serves as primary contact on-site at relevant conferences.
  • Negotiate Congress sponsorship participation to include exhibit space, symposia, custom packages and exhibit hall meeting space in conjunction with Account Team.
  • Leads relevant pre-con mtgs.
  • Gathers post Congress feedback. Facilitates Debrief and sends pertinent data to Project Owner within 30 days.
  • Manage and maintain all pertinent congress information.
  • Maintain master schedule and convention/congress information utilizing congress planning tool.
  • Ensure accurate and timely data entry.
  • Provide support to brand teams via GCMA submissions.
  • Participate in weekly one-on-ones with Finance Controls Manager to assure all congresses are compliant.
  • Escalate issues to AE, VP Client Relations, Congress Lead as applicable.


Qualifications

  • Bachelor's Degree required with Marketing/Communications major preferred or commensurate experience.
  • Previous Congress Management or internal Account (3 yrs+) experience.
  • Thorough knowledge of spreadsheets, databases, ppt, word processing and graphics.
  • Ability to analyze available information and make sound decisions.
  • Excellent communication and presentation skills.
  • Ability to work in consultative manner with internal teammates and client contacts at a variety of levels.
  • Foresight to anticipate clients' needs and requirements.
  • Excellent interpersonal skills and the ability to develop a strong rapport with the convention/congress department client, brand managers, regulatory personnel, agencies and other key stakeholders. Approachable, engaging and likable.
  • Articulate, poised and polished with the ability to communicate clearly, concisely and professionally both verbally and in writing.
  • Exceptional organizational skills and ability to multi-task; able to manage shifting client priorities and multiple/simultaneous client shows and projects.
  • Ability to proactively provide practical solutions in an ambiguous, time sensitive and fast paced environment.
  • Travel approximately - up to 30%.


How to measure success



  • By 30 days, the incumbent should understand team dynamics and perform basic job functions independently
  • By 60 days, the incumbent should be self-reliant on basic job functions and begin executing more complex tasks
  • By 90 days, the incumbent should have ownership over specific projects
