Summary: We seek a highly organized and detail-oriented Payroll and Human Resources Information System (HRIS) Specialist to join our team. This candidate understands multi-state and jurisdictional payroll processes, human resources functions, benefits administration, and HRIS technology. This role requires the ability to manage and streamline multi-state payroll procedures, maintain accurate employee records, and ensure the smooth implementation and operation of our HRIS software. The Payroll and HRIS Specialist will be crucial in ensuring timely and accurate compensation to employees while maintaining compliance with company policies and relevant regulations. We currently have under 200 employees in 33 different states and plan to expand operations significantly in the next couple of years.

Scope: This is an exempt position managing the day-to-day functions of payroll processing and the operation of HRIS software. This person will perform various ad hoc activities as well.

Primary Responsibilities:

  • Payroll: research and process payroll accurately and in a timely manner, ensuring all deductions, benefits, and allowances, time records, address any discrepancies are correctly calculated and applied. Processes any off-cycle and year-end/quarterly adjustment payrolls
  • Ensure payroll compliance with relevant labor laws, tax regulations, and company policies
  • Communicate with the HR and Finance to ensure the integrity of the payroll data including data related to new hires, terminations, job changes, rate changes, commissions, reports, etc.
  • Collaborate with IT or software vendors to implement system updates, enhancements and integrations
  • Update benefits information in the HRIS and work closely with benefits providers to ensure accuracy
  • Maintain and update employee data in the HRIS, including but not limited to personal information, job details, compensation, benefits and performance records
  • Assist with the preparation of year-end tax documents and compliance reporting
  • Troubleshoot and resolve HRIS-related issues for both employees and management
  • Ensure that required state and federal payroll-related filings are completed as required
  • Address manager and employee inquiries regarding payroll, benefits and HRIS usage in a timely and professional manner
  • Ensure compliance with internal controls in accordance with organizational policies
  • Identify opportunities to streamline payroll and HRIS processes for increased efficiency and accuracy
  • Provide regular key reports to related business partners/departments
  • Maintain information for monthly key performance indicators, maintaining HR dashboard
  • Assist in the administration of employee benefits programs, including health insurance, retirement plans and other perks
  • Educate employees about self-service options within the HRIS platform
  • Assist with special projects as required

Preferred Skills & Experience:

  • Proven experience (4+ years) in payroll administration and HRIS management
  • Experience and proficiency in the use of ADP Workforce Now or the most current HRIS platform
  • Strong knowledge of payroll regulations, tax laws and compliance requirements
  • Excellent analytical skills
  • Strong communication and interpersonal abilities
  • Ability to handle sensitive and confidential information with discretion
  • Problem-solving mindset with the ability to troubleshoot and resolve technical issues
  • Familiarity with benefits administration required
  • Ability to work in a fast-paced environment
  • Excellent organizational and project management skills alongside attention to detail
  • Experience in collaborating and working cross-functionally with domestic and international teams
  • A team player with excellent communication skills with all levels of seniority

Education: Bachelor's Degree in Human Resources, Business Administration, Finance or a related field preferred
