The Administrative Specialist provides a variety of specialized clerical and administrative support duties for the Payroll Section in the Human Resource Services Division. This position performs specialized tasks that are complex and/or sensitive in nature (e.g., implementing prior pay period corrections in the timekeeping system, scheduling maintenance and leave adjustments, troubleshooting issues, and analyzing data from payroll and eTime components). The Administrative Specialist may receive occasional instruction or assistance as new or unusual situations arise and may be required to interpret operating procedures and policies.

Position Qualifications

Education

  • High School Diploma or G.E.D.

Experience

  • Two (2) years of clerical experience.

OR

Combined education and experience qualifications

  • Other combinations of post-secondary education and experience may substitute for the minimum qualifications on a year-for-year basis.

Other requirements

  • Must possess a valid Arizona driver's license or have the ability to obtain by the time of hire.
  • Training that may be provided on-the-job: FEMA NIMS - IS100 and 700; Safety; Payroll; PREA.
  • Prior to hiring, the Sheriff's Office requires that all candidates pass a background review.

Our Preferred Candidate has

  • Two (2) years of payroll timekeeping experience.
  • Experience in law enforcement administration.
  • Experience using Workday.
  • Experience using Excel.

Essential Job Tasks

This is not an all-inclusive list of all job duties that may be required; employees will be required to perform other related duties as assigned.

  • Composes complex and sensitive forms, letters, or memorandum.
  • Prepares and processes specialized paperwork.
  • Maintains calendars and schedules activities.
  • Provides administrative support to all MCSO Divisions/Units for entry of time into the payroll system; runs final timecard reports to ensure all payroll is completed by deadline; prepares biweekly and monthly overtime reports; enters absence corrections.
  • Processes Recognition Leave Requests; reviews all Chase Field overtime for accuracy.
  • Implements and maintains files and databases (e.g., payroll rosters, resignation/termination/retirement files for payroll information, payroll reports for all Divisions/Units); tracks and follows up as required.
  • Provides customer service via telephone, email, and in person.
  • Provides payroll information to the public and other agencies.
  • Creates and manages computer database applications.
  • Compiles biweekly reports/records for staff overtime expenditures for MCSO.
  • Researches supply numbers and sends request for supplies for the division.
  • Attends meetings as necessary and takes notes.
  • Assists in processing Employee Performance Appraisals (EPAs), when necessary.
  • Retrieves documents (e.g., W2's, paychecks) from County location as required.
  • Prepares storage boxes for payroll documents to be sent to the MCSO warehouse.
  • Prepares and assists County Payroll with annual audit of MCSO Payroll.
  • Maintains good attendance to perform tasks as scheduled and/or assigned by the supervisor.

Work occurs primarily indoors working in MCSO jail facilities with various staff and all classifications of inmates.

SELECTION PROCEDURE:

The hiring authority will select the successful candidate based on departmental needs.

All offers of employment made to new hires and rehires at Maricopa County are contingent upon successful completion of a post-offer, pre-employment thorough background investigation. A background investigation is conducted on a current employee who changes to a Safety Sensitive Position or one having the potential for serious adverse impact on the integrity or efficiency of the County. Typically, successful candidates are hired at a salary rate, up to midpoint of the range, based on applicable experience, internal equity and budgetary allowances.
