What You'll Do:

  • Provide comprehensive administrative support to Business Area, Market Sector, and PEO leadership teams, ensuring smooth and efficient operations.
  • Proactively organize and manage schedules for meetings, both virtual and in-person, while coordinating necessary logistics and ensuring all relevant parties are informed.
  • Maintain and update the electronic meeting board with scheduled events, keeping leadership informed of upcoming appointments and deadlines.
  • Collect, organize, and prepare data from multiple sources, ensuring that information is accurate, timely, and accessible for team use.
  • Organize and update organizational charts, ensuring accurate and current information is available.
  • Create, edit, and format a variety of documents using Microsoft Word, Excel, and PowerPoint to support business objectives, including proposals, reports, presentations, and meeting materials.
  • Edit, proofread, and format proposals, presentations, and documents to ensure quality and consistency.
  • Prepare and organize PowerPoint slides for Board and GM meetings, ensuring alignment with meeting objectives.
  • Assign visitor badges and maintain badge logbooks, ensuring compliance with office security protocols.
  • Order food and beverages for office functions and meetings as needed, ensuring all requirements are met.
  • Manage office supply inventory, order coffee supplies, and maintain an efficient system for replenishing supplies.
  • Greet visitors with a professional demeanor, manage deliveries, and ensure a smooth front-office experience.
  • Sort and distribute incoming mail, as well as prepare outgoing mail and packages for FedEx, UPS, and Post Office shipments.
  • Submit service requests to Property Management for office maintenance needs, ensuring timely resolution of facility issues.
  • Assist in the preparation of monthly reports and other necessary documentation to track office or project status.
  • Assist in electronic document assembly (e.g., PDFs, bookmarks, appendices) and document formatting (Word & Excel).
  • Prepare meeting agendas, take meeting minutes, and follow up on action items as necessary.
  • Work collaboratively with multiple departments to ensure the accurate and timely flow of information.

Additional Responsibilities:

  • Actively assist with ad hoc administrative projects as needed to support team and business operations.
  • Ensure all data and information is organized, easily accessible, and secure.
  • Handle sensitive information with discretion and professionalism.

What You'll Bring:

  • High School diploma required; Associate's degree or higher preferred.
  • 2-5 years of prior experience in an administrative office role, with experience in federal contracting, engineering, or science firms being a plus.
  • Strong technical proficiency, with advanced skills in Microsoft Word, Excel, PowerPoint, and other office technologies.
  • Proven ability to receive, organize, and synthesize data from multiple groups, ensuring seamless communication and efficient workflow.
  • Highly organized, with exceptional attention to detail and the ability to manage competing priorities.
  • Strong written and verbal communication skills, with the ability to present information clearly and professionally.
  • Proactive and self-motivated with the ability to anticipate needs and take action without being prompted.
  • Punctual, dependable, and flexible, with the ability to adjust to varying work hours as needed, including early or late shifts to accommodate client meetings.
  • Strong problem-solving skills and ability to handle office challenges independently.
  • Ability to work core office hours, with occasional flexibility to work remotely (up to two days per week).
  • Professional demeanor and strong interpersonal skills for interacting with team members, leadership, clients, and visitors.
  • Must be proficient in English, both written and verbal, to ensure effective communication and collaboration.
  • Successful results of preemployment screenings, including federal background check, MVR, and drug screen.
  • Comply with company drug and alcohol policy.
  • Be authorized to work in the US or will be authorized by the successful candidate's start date.

Preferred Qualifications:

  • Previous experience supporting federal contractors, engineering, or science firms.
  • Experience in technical editing, document assembly, and file management.
  • Knowledge of document management systems and project tracking tools.
  • Familiarity with office equipment and facility maintenance requests.
  • Previous experience supporting senior leadership in a corporate or fast-paced environment.

Compensation

Expected Salary: $19.00 - $25.00 per hour

Location Requirements

The position will primarily work a flexible remote work schedule, with some days of the work week to be spent at the office. Preference will be given to those who reside in Dallas, TX.
