Position Highlights

Office of Societal Impact at the University of Arizona is in search of a Coordinator, STEM Learning Communities (extended temporary employment). The STEM Learning Communities Coordinator supports the implementation and sustainability of the CREAR STEM Learning Communities (SLC) under the Title III HSI-STEM Project CREAR. This position oversees administrative operations, facilitates recruitment and outreach efforts, and maintains relationships with campus and community partners. The Coordinator plays a critical role in managing course schedules, tracking student participation, and executing marketing and logistical strategies to enhance the program's success. In close partnership with the Assistant Director, this position ensures the alignment of SLC initiatives with institutional goals for diversity, equity, and inclusion, access, and engagement in STEM education.

This position operates with moderate guidance, allowing the Coordinator to independently manage day-to-day responsibilities while consulting the Assistant Director for alignment on strategic goals, complex decisions, and program outcomes. The Coordinator is expected to use sound judgment, creativity, and prior experience to address challenges and adapt processes in support of the STEM Learning Communities' objectives.

This position requires travel to high schools, community colleges, and other community partners and will sometimes require coordination of and attendance at weekend events.

This position is funded by a U.S. Department of Education Title III HSI STEM grant entitled Project CREAR (Culturally Responsive Engagement, Articulation, and Research), which ends September 30, 2026. Our goal is for this position to be funded by other sources by the end of the grant period, however, that cannot be guaranteed.

Duties & Responsibilities

Duties & responsibilities:

  • Coordination of STEM Learning Communities
    • Collaborate
      with university colleges and departments to arrange course schedules,
      secure meeting locations, and set up linked course sections for STEM
      Learning Communities (SLC).
    • Organize and group students into SLC cohorts and enroll them in their respective courses.
    • Track SLC participant progress in alignment with the academic goals outlined by the CREAR grant.
    • Maintain accurate and updated student data records, including student group codes for participating students each semester.
    • Support Assistant Director with the coordination of the STEM Learning Community enrollment process.
    • Serve
      as the Department Scheduler for all SLC activities and coordinate the
      creation of marketing materials to promote SLC courses.
  • Outreach and Recruitment (40%)
    • Organize
      and facilitate recruitment efforts, including high school and community
      college visits, call campaigns, email campaigns, and mailers targeting
      prospective students.
    • Manage and maintain a "Leads List" for outreach activities and ensure follow-up communication with potential SLC participants.
    • Develop marketing materials for SLCs, including fliers, social media posts, and targeted emails.
    • Coordinate
      with recruitment and admissions offices to develop and deliver
      information sessions, workshops, or conferences to prospective students
      and their families.
    • Manage recruitment logistics across multiple partner units.
    • Keep
      track of progress of recruitment efforts in a timely manner and make
      adjustments to recruitment strategies as needed to achieve successful
      outcomes in partnership with the Assistant Director.
    • Collaborate with the website developer to maintain updated information on the website.
    • Ensure recruitment activities are designed to effectively reach the target population of the Title III Project CREAR grant.
  • Administrative Support and Maintenance
    • Act
      as a liaison between CREAR and the Student Success District Building
      Management Board to coordinate shared resources and facilities.
    • Oversee supply orders and maintain inventory for the SLC team to support ongoing program activities.
    • Support
      general administrative needs related to the CREAR Title III grant,
      ensuring accurate record-keeping, data management, and timely reporting.
    • Provide
      reports and/or presentations on recruitment efforts and STEM Learning
      Communities to appropriate leadership within the unit and to academic
      departments.
  • Additional duties may be assigned.

Knowledge, skills & abilities:

  • Ability
    to develop and maintain collaborative relationships with partners at
    all organizational levels, including students, staff, faculty, and
    community members.
  • Excellent organizational skills, with a proven ability to manage multiple tasks and projects effectively.
  • Strong
    communication skills, including written, presentation, and
    interpersonal skills, with a demonstrated commitment to cultural
    sensitivity and inclusivity.
  • Capacity for independent work and proactive problem-solving in a dynamic educational environment.
  • Knowledge of financial aid processes, academic advising, and STEM career pathways.
Minimum Qualifications
  • Bachelor's degree in Higher Education, Curriculum Development, Educational Policy, Social and Behavioral Sciences, STEM/Health Sciences, or a related field and a minimum of 3 years of experience in program coordination, student recruitment, or related roles within higher education settings.
Preferred Qualifications
  • Bilingual in English and Spanish
  • Experience with University of Arizona systems, particularly PeopleSoft UAccess, Salesforce/Trellis is highly desirable.
  • Experience in supporting the retention of underrepresented students in STEM fields, especially through culturally responsive mentoring and asset-based approaches.
  • Experience with student transition barriers (e.g.- out of high school, community college transfer, etc.) for underrepresented and underserved populations in STEM majors.
