Department Summary
The Development and Marketing teams are a community of driven and passionate fundraising and donor care professionals who create synergies between donors, prospects, and the mission of Search for Common Ground. We bring our individual experiences and expertise to walk alongside our current and future peacemaking community by cultivating, maximizing, and stewarding their financial resources with the needs and development of the communities we serve.
Position Summary
This role is designed to bridge the Development and Marketing departments, ensuring seamless collaboration and alignment of initiatives that support organizational growth and visibility. The Development Administrative Associate plays a key role in supporting the DevOps Senior Specialist and the Marketing Director by assisting with administrative tasks and executing strategies that contribute to the overall success of the DevOps and Marketing teams.
The DevOps team manages critical in-house functions for the Development Department, ensuring the effective use of fundraising systems, maintaining data accuracy, generating timely reports, booking incoming donor gifts, facilitating donor acknowledgments, ensuring compliance with fundraising policies, and overseeing the implementation of the department's annual development plan.
The Marketing team manages critical functions to support the organization's external engagement and visibility efforts. This role would take the lead on vendor procurement and payment processes. Support the team in drafting and posting blogs and social media content. Attend meetings and track key takeaways from meetings internally and with external stakeholders, to ensure effective coordination and information-sharing during meetings. Additionally, this team member would contribute to the department's annual planning processes, infuse organizational values into all work, and undertake other duties aligned with these key contributions as needed.
This role requires exceptional attention to detail, strong interpersonal and communication skills, and the ability to manage multiple tasks in a fast-paced environment. The ideal candidate is highly organized, self-motivated, and comfortable handling repetitive or detailed tasks while maintaining a focus on process improvement and operational efficiency.

Key Responsibilities
  • Monitor bank accounts and lockboxes for incoming non-portal donations.
  • Record incoming donations from donors in the Salesforce (CRM) system.
  • Serve as the Development and Marketing teams Procurement Champion by handling paperwork for larger purchases.
  • Assist with the technical execution of donation acknowledgments and prepare annual tax statements for donors, ensuring accuracy and timeliness.
  • Support the improvement of data transfer and reconciliation processes between online platforms, the Finance, and Development teams, ensuring smooth and accurate financial workflows.
  • Collaborate with the Development and Marketing team and other departments to ensure cross-functional alignment and seamless collaboration.
  • Identify opportunities to automate routine tasks and improve workflows to enhance operational efficiency and reduce manual effort.
  • Ensure data handling, storage, and transfer processes comply with internal policies and external regulations, including data privacy laws.
  • Serve as a key liaison with the Finance Department to track funding allocations, bookings, restricted and unrestricted funding, and grant codes
  • Provide event support as needed, including assisting with venue arrangements and ensuring all ticketed guests are logged in Salesforce. If ticketing software is used, audit to ensure Salesforce records align with issued tickets.
  • Offer general administrative support to the DevOps and Marketing teams.
  • Oversee state compliance and registration processes.
  • Maintain familiarity with privacy standards such as GDPR to ensure ongoing compliance.
  • Help coordinate charity rating sites and liaise with other departments to keep ratings high and up to date.
  • Assist outward-facing associates with back-end support tasks, such as resolving broken transactions and whitelisting donors in the payment processor.
  • Conduct an annual audit of document storage to ensure unnecessary files are removed, organization is maintained, and file naming conventions are consistently followed.
  • Supports the drafting and posting of marketing communications to engage external stakeholders.
  • Provides logistical and record-keeping support for brand development and brand infusion across the organization
  • Attends and tracks important takeaways and next steps for meetings with external stakeholders
  • Supports the logistics for internal meetings to ensure adequate information-sharing and coordination

Preferred Qualifications
  • Proficiency with Salesforce (CRM) for recording and managing donations
  • Familiarity with donor relations and fundraising processes
  • Familiarity with WordPress
  • Proficiency with social media channels

Education and Experience
BS/BA with minimum 3 years' experience.
Working Conditions and Physical Requirements
This is a remote position, ideally based within the Central or Eastern time zones of the United States.
Must have a reliable internet connection and a suitable remote working environment.
