Position Summary

The University of Southern Indiana is accepting applications forAdmissions Operations Associate.

The Admissions Operations Associate provides operational and administrative support for the services and operations for the Undergraduate Admissions Office. In addition to day-to-day administrative functions, this position is responsible for performing general tasks and assignments related to admissions, evaluations, and transfer credit with emphasis on admission processing. The position actively collaborates with other university staff involved in various aspects of admissions and records processing, to ensure that related processes are completed in a timely manner. The position will also work on special projects as assigned by Undergraduate Admissions leadership. The Admissions Operations Associate also assists and supports comprehensive enrollment processes and other initiatives designed to increase new student enrollment operations, and administrative details.

Duties/Responsibilities



  • Provide high-level administrative support to the Assistant Director of Admissions Operations and Associate Director of Undergraduate Admissions.

  • Manage and maintain the Undergraduate Admissions email account by responding to inquiries, directing and independently resolving various issues from prospective students, parents, secondary school personnel, community college personnel and vendors.

  • Plan and coordinate special programs, dinners, and other special events. May attend special evening activities.

  • Coordinate travel arrangements and reimbursement of expenses.

  • Assist in budgetary preparation of current budget; maintain monthly budget analysis. Monitor expenses, reconcile credit card payments and generate purchase orders.

  • Provide administrative, budget and project support to Undergraduate Admissions Office.

  • Coordinate the appeal process for admission decisions as well as for residency appeals and compile all required documentation

  • Assist with assessing documents and transcripts to determine admission eligibility for both Freshmen & Transfer applicants.
    Perform significant data entry, verification, updates, evaluations, and reviews using multiple student information databases including the CRM.
  • Maintain a strong working knowledge in various steps of the enrollment process including specialized areas such as financial aid, orientation, and advising.
  • Assist with the input and updating of prospective student information to Banner and Slate CRM. Occasionally contact students directly to determine whether inquiry and application contact information is duplicative.

  • Assist with data entry and updating of admission inquiries, applications, transcripts, imports/exports, and document scanning during high volume periods.

  • Correspond with students about application statuses, questions, requests, or decisions rendered on applications, regarding admissions.
  • Assist with performing data imports and exports from the CRM to support enrollment initiatives that may involve other campus units and divisions.
  • Assist with training and guidance to student workers, interns, and graduate assistants as needed.

  • Perform a broad array of admissions processing and customer service functions to include coverage in the Fuquay Welcome Center in the absence of the Campus Visit Coordinator
  • Perform duties associated with scheduling, organizing events: including overseeing the production and distribution of materials, PowerPoint presentations, coordinating logistics, and serving as liaison to internal and external vendors.

  • Other duties as assigned.


Required Knowledge and Skills



  • Associate degree or some college coursework.

  • Excellent customer service skills.

  • Proficient in Microsoft Office.

  • Ability to use communication tools (i.e., texting platform, CRM).

  • Strong organizational and time management skills.

  • Ability to work under limited supervision and the ability to multitask.

  • Strong communication and interpersonal skills with attention to detail.

  • Ability to work with a variety of constituents, solve problems quickly and professionally, anticipate needs, and communicate proactively.

  • Understanding of how to prioritize competing demands and timelines is necessary.


Preferred Knowledge and Skills



  • Bachelor's degree.

  • One year of office experience.


Regular Work Hours/Travel Requirements


  • Standard office hours are Monday through Friday, 8:00 a.m. to 4:30 p.m.
  • Occasional irregular hours, including early mornings, evenings and/or weekends may be required during high volume periods.
  • Occasional overtime may be required.
