Job Summary

The Institute for Neurodegenerative Diseases is looking for a Research Administrator 3 who will work in coordination with an established administrative team. This position will report to the Chief Administrative Officer.

The Research Admin will work with several PIs to help them develop and manage their grant portfolios; analyze their spending and adjust time / effort disrtibutions; and help develop financial recommendations that allow them to effective manage their research teams. The incumbent will review financial processes such as reimbursements, meeting and entertainment transactions, honorariums, and miscellaneous payments. The incumbent will work with the administrative team to prepare and submit regular reports and maintain compliance with UCSF policies and procedures and will assist the IND with special projects throughout the year. A key aspect of the position will be to establish and maintain working relationships with the Departmental Finance Office, UCSF Office of Research, UCSF Controller's Office, Supply Chain Management, UCSF Development Office, and Extramural and Intramural Sponsors. The incumbent will exercise discretion and confidentiality in all dealings and demonstrates good judgment in interpretation and application of policy.

The successful candidate will have a college degree, strong critical thinking skills, and experience working in a fast paced, customer-centered environment.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $81,000 - $121,600 (Annual Rate).

Department Description

The Institute for Neurodegenerative Diseases (IND) at UCSF is pursuing a cutting-edge blend of basic science and clinical medicine to provide outstanding care to those suffering from neurodegenerative diseases. Founded in 1999, the IND is committed to creating therapeutics that will halt diseases such as Alzheimer's, Parkinson's, Creutzfeldt-Jakob disease and dementia resulting from traumatic brain injuries. The IND is poised to make serious contributions to this struggle at the frontier of neuroscience and medicine. The mission of the Institute for Neurodegenerative Diseases is to discover causes and develop cures for these illnesses with an innovative program of basic research and clinical medicine. The IND is directed by Nobel Laureate Stanley B. Prusiner, MD.

Required Qualifications


  • Strong customer service skills
  • Minimum 3+ years of related experience
  • Ability to manage significant volume of transactions
  • Ability to perform complex financial analysis and customized reporting
  • Demonstrated competence in the use of spreadsheet and database software in financial analysis, fiscal management and financial reports
  • Ability to maintain independent judgment; strong organization and communication skills; and a customer service focus across broad and diverse subject areas
  • Demonstrated knowledge of generally accepted accounting, fiscal and reporting principles

Preferred Qualifications


  • Thorough understanding of research administration guidelines of Federal and non-Federal sponsors supporting research and educational activities, preferably in a university environment
  • Thorough knowledge of applicable compliance requirements related to use of human or animal subjects in research, financial conflict of interest, biosafety, etc.
  • Maintains current knowledge of compliance regulations in all areas of research administration
  • Demonstrated knowledge of effective grant funding processes, procedures and techniques
  • Strong writing skills in a variety of styles to draft persuasive text for a variety of audiences while ensuring adherence to funding sponsors guidelines
  • Working knowledge of the use of UC Path, PeopleSoft Financials, and other UC / UCSF systems
