Job Summary The Therapy Intake Specialist plays a critical role in optimizing patient and clinician scheduling to ensure efficiency, satisfaction, and seamless access to care. This position is responsible for managing and streamlining scheduling processes, prioritizing same-day appointments when possible, and maintaining accurate clinician schedules. The Therapy Intake Specialist will proactively manage schedules, optimize patient flow, and collaborate with various stakeholders to achieve departmental and organizational goals. What you will do * Ensure accurate scheduling for both patients and clinicians, to enhance satisfaction. Streamline scheduling throughput, prioritizing same-day appointments when possible. Manage clinician schedules, including approving schedule overrides to optimize patient flow. * Address referral inquiries from the call center/Patient Service Representative team, requiring thorough chart reviews. * Serve as the primary contact to troubleshoot urgent scheduling challenges (e.g., joint coordinator requests, surgery date changes, physician directives, hospital discharges, home health teams, case management, acute care). * Review waitlists for accuracy and identify opportunities to offer available slots to patients. * Monitor metrics (not limited to site/clinician slot utilization, third next available, production, templates), offering solutions for maximizing appointment offerings. Assist clinicians in keeping their schedules full; optimize schedule templates. * Assist and support the navigation of the department's program goals. Collaborate with leaders, providers, and staff to develop standardized protocols and workflows to balance needs with current strategic initiatives.
