Job Overview |
The Facilities Administrator is highly organized, providing assistance to ensure the day-to-day smooth operation of a building's infrastructure, through administrative support, including budgeting, contractor liaison and documentation, as well as coordination of staff and work assignment. |

|
Essential Functions |
- Conduct in-depth surveys of all front and back of house areas and creates repair lists (carpentry, flooring, locks, paint, wallpaper, electrical and engineering) for all building trades.
- Create and complete work orders in the work order system for each task and trade.
- Assign work order tasks to each individual skilled trade person including location's specific instructions for repairs and methods. Communicate with store managers and staff, following up on repair progress to completion.
- Maintain and monitor call center and dispatch engineers, electricians, and all trades for necessary immediate response.
- Place orders for supplies for engineering, electrical, trades, housekeeping and operations department equipment; issuing all expense PO's and contracts and troubleshooting PO and invoice issues and payments..
- Monitor expense accounts for weekly and monthly expenditures to maintain plans and budgets.
- Issue contracts and PO's for multimillion dollar capital projects and major exterior projects; creating and maintaining project expense tracking reports.
- Manage uniform accounts and services for engineering department, creating weekly PO's.
- Manage water cooler account and service for entire building.
- Assist Fire Life Safety Director and safety program with meetings, initiatives and maintaining all required safety logs. Create and assign work orders for building safety issues and monitor to completion.
- Perform and submit monthly corporate credit card audits for all engineering department.
- Manage and update capital Tango system contracts, PO's and payment approvals.
- Support Kronos and TIA process for engineering department.

Qualifications and Competencies |
Competencies |
- High School Diploma or equivalent required.
- Education and experience in accounting practices - degree in Accounting a plus.
- 3-5 years related experience.
- Advanced understanding and experience with Microsoft Word and Excel.
- Experience with expense control and payment processes.
- Knowledge and experience with trades and repair methods.
- Knowledge and experience using and developing financial tracking reports.
- Knowledge and experience working with supply companies; placing and receiving orders.
- Knowledge and experience executing contracts and PO's.
- Knowledge and experience in business administration and office management.
- Ability to communicate clearly and professionally with vendors, customers.

- Position requires prolonged periods of standing/walking around store or department.
- May involve reaching, crouching, kneeling, stooping and color vision.
- Frequent use of computers and other technology, necessary to perform job functions, including handheld equipment, cash register and ability to process register transactions.
