Custodial & Landscape Services

Job Description

Basic Function & Responsibilities:

This position is to support all office business functions of the Custodial and Landscape Service operations. Reports to the Senior Assistant Director for Business Administration and works closely with the custodial and landscape managers all associated staff.

Job Functions:

  • Bi-weekly payroll - enter and record all leave time weekly, manage exceptions, research and repair all missing time and errors for more than 100 employees; Ensure that time is approved by deadline for employees to be paid
  • Credit card reconciliation. This includes applications, cancellations, obtaining receipts, change requests, setting up and presenting expense reports, entering all data/funding for purchases, scanning in receipts and submitting for approval
  • Prepare vouchers and purchase orders for campus maintenance, custodial and landscape services. Ensure payments agree with the invoice/quote amounts
  • Balance department accounts and prepare reports to leadership
  • Work orders - calculate and enter all Custodial and Grounds special events or snow removal labor as needed in maintenance billing software; Process payroll corrections on special events. Set up, track and complete work orders as needed
  • ePAF/PAF's - Process all staff and/or student changes. Maintain employee files
  • Recruitment - regular, temporary, student hires - collaborate with HR to create job opening, interview scheduling, prepare job offers. Monitor and report these processes as needed Student hire research in JoeSS system, take applications, FICA research and recordings. Track each semester for new hires
  • Answer incoming department phone calls, email and mail and troubleshoot/route as necessary, as well as greet and assist visitors/guests
  • Monthly fuel expense tracking and entry into maintenance billing software
  • Journal entry transfers - for Custodial and Grounds supplies and/or services and for fuel reimbursement and other transfers as needed. Report at department meetings
  • Workers' compensation and damage reporting - Injury or damage reporting as needed, form preparation, tracking, ensuring that employees time is managed while out
  • Performs other job-related duties as assigned
Minimum Qualifications

An Associate's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary

Anticipated Hiring Range

The anticipated hiring range for this position has been established as $16.82-$19.40 hourly.

Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
