Job Summary:

The Administrative Supervisor will join the Biological Systems Engineering and Soil and Environmental Sciences Administrative Hub in providing support to the academic departments of Biological Systems Engineering (BSE) and Soil and Environmental Sciences (SES) in their research, instructional, and outreach missions. This position will work collaboratively with the Department Administrator to lead various administrative support functions for these academic departments.

The BSE/SES Administrative Hub provides department level support in the areas of administration, finance, grants, human resources, payroll, and student services. Candidates should be prepared to assist with day-to-day operations while focusing on building relationships with these departments and CALS as we transition to a new people management software in the coming year.

The ideal candidate will have a strong understanding of administration, finance and budgets, grants, human resources, and payroll in a higher education setting, and will also be able to identify issues or areas of improvement and solve problems in these areas independently.


Responsibilities:
Supervises and leads a team of administrative support across a variety of administrative service areas including budget, finance, procurement, and human resources with impact across the institution in support of unit or institutional goals.

  • 15% Exercises supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 full-time equivalent (FTE) employees
  • 20% Implements and executes established policies and procedures for a designated work unit to adhere to unit objectives and to align with established strategies
  • 30% Schedules logistics and secures resources for a designated work unit to contribute to the day-to-day operational success
  • 10% Analyzes data and trends, compiles progress reports, and provides appropriate recommendations or conclusions in support of the assigned operational work unit(s)
  • 15% Assists, recommends, and advises staff, on unit or program administrative issues, personnel matters, and budgetary problems
  • 10% Develops, schedules, and prioritizes unit or program work plans in accordance with specifications and resource limitations

Education:

Required
Bachelor's Degree in Management, Human Resources, Financial, Administration, or related field.


Qualifications:

Required Qualifications:
- Strong experience and understanding of administrative operations such as payroll, human resources, grants, and finance and budgets (experience in a higher education setting preferred)
- Professional managerial experience including supervision of staff.
- Strong organizational and time-management skills that include: multi-tasking, prioritizing, and meeting deadlines while paying attention to accuracy and details.
- Ability to proactively identify and solve problems.
- Experience working independently and collaborating with a team.
- Strong computer skills - email, word processing, spreadsheets, databases, virtual platforms (Teams, Zoom), Google suite (sheets, docs), and similar platforms.

Highly qualified candidates will also have the following skills and experiences:
- Ability to quickly adapt and prioritize during times of transition with normal day to day operation.


Work Type:

Full or Part Time: 75% - 100%

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

Salary:

Minimum $65,000 ANNUAL (12 months)
Depending on Qualifications
The minimum salary for this position is $65,000. However, final salary will depend on experience and qualifications.
