Description

GAI Consultants, Inc. is looking for a Project Accounting Associate that will assist the Project Manager throughout the project life cycle: establishing project budgets, reviewing and preparing the client invoices, coordinating accounts receivable and work-in-progress review, and review project financial performance.

Essential Duties and Responsibilities

Project Setup & Maintenance



  • Create Work-Breakdown-Structures (WBS)
  • Input Budgets (Contract, Cost & Billing)
  • Create Billing Terms
  • Review Contract Terms for Project Setup
  • Adjust Project Settings as needed


Invoicing



  • Enter AP Invoices into Deltek Vantagepoint
  • Draft Invoices
  • Review Work-In-Process (WIP) charges for accuracy
  • Conduct Invoice Review Meetings
  • Process and Submit Invoices to Clients


Accounts Receivable & Work-In-Process (WIP) Review



  • Monitor age of WIP across projects
  • Conduct AR Follow-up as needed
  • Escalate AR and WIP concerns as needed
  • Input status updates in Deltek Vantagepoint


Project Financial Performance



  • Monitor KPIs of assigned projects through Vantagepoint and Reports
  • Attend Financial Review Meetings
  • Assist Project Managers with Accounting Needs
  • Report Project Issues to Supervisor and Project Managers


Miscellaneous Accounting tasks in support of Project Financial Performance

Education required:



  • High school graduation/GED.
  • Related post-secondary technical coursework preferred.


Experience required:



  • 0-1 year


Language Skills:



  • English as a first language or demonstrated verbal and written skills in English as a second language.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to demonstrate strong writing/communication skills.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.


Computer Skills:



  • To perform this job successfully, an individual should have knowledge of various software programs which may include Accounting software; HRIS software; ATS software; Database software; Internet software; Inventory software; Payroll systems; Project Management software; Spreadsheet software; and Word Processing software.


Certificates, Licenses, Registrations:



  • Current, valid Driver's License.


Other Qualifications:



  • Must be United States citizen or have permanent residency status.
  • Must be able to pass pre-employment background check as well as possible post-hire, client-based background checks as required.
  • Must be willing to work in a drug free environment and agree to drug and alcohol testing if required.

Travel Requirements



  • Must pass MVR check to be confirmed as insurable to drive on company time/company vehicles; must be willing to travel as required by job
  • The successful candidate may work remote or hybrid schedule, but will be expected to travel to the Jacksonville or Orlando office several times a month if needed
