Posting Summary
Rutgers University-Newark, an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise, is seeking a Program Coordinator I. As a member of the Honors College team embracing the challenges of achieving Honors College goals and supporting team efforts to grow together, the Program Coordinator, provides administrative support to Rutgers University-Newark's Honors College and all its programs, faculty, staff, and students. Responsible for managing day-to-day operations of the Honors College and its programs, ensuring a welcoming and responsive environment, and ensuring effective operations through a wide range of administrative responsibilities. Initial point of contact for the Honors College, interacting extensively, collaboratively, and responsively with students and prospective students, faculty, the University community, and the public.

This position is responsible for and not limited to the following:

  • Assists with administration of academic and business operations, including, but not limited to coordinating events and programs; managing general inquiries; maintaining websites, social media, student learning tools, and databases;
  • Prepares and processing payroll and other business transactions; and preparing business expense reimbursements; among other duties.
  • Provides information and assistance to students, which requires knowledge of curriculum, majors/minors, and other requirements and processes.
  • Provides timely and accurate information in response to requests and on the policies and processes of the Honors College, the School of Arts and Sciences-Newark (SASN), Rutgers University-Newark (RU-N), the Rutgers University (RU) system, and external stakeholders.
  • Maintains a professional demeanor and multi-tasks in a fast-paced, student-focused environment, completing work with an understanding of the mission, visions, role, and goals of the Honors College, SASN, and RU-N, and the part the responsibility of this position plays in the achievement of those goals.

Work Arrangement
Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2024. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Minimum Education and Experience

  • Requires a bachelor's degree or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of general office administration.
  • Requires excellent communication and organizational skills; the ability to integrate multiple sources of information; strong decision-making and problem-solving skills; a desire for a commitment to continuous learning; and the ability to adapt to a changing environment to handle multiple priorities simultaneously; and to interact successfully with a wide range of individuals throughout the University and external community.

Equipment Utilized
  • Position regularly uses MS Office Suite, Cornerstone, SASN appointments system, ROCS, HCM, SSC, RAPSS, ECRT, Course Scheduling System, Degree Navigator, E-Verify, Course Analysis System, Sakai, Canvas, and knows or will learn any and all systems RU uses for expense reimbursement, absence reporting, time keeping, personnel appointments, parking, telephones, payroll, grant submission, recruitment, academic and student support, course scheduling, facilities and space scheduling and management, event management, website and social media maintenance and updates, and knows or will learn all equipment, software, and specialized materials needed to support the effective and efficient performance of this position.
Physical Demands and Work Environment

  • Fast-paced, student-focused, collaborative environment.
  • Must be able to work occasional evenings and weekends and have the ability to move and/or lift items weighing up to 30 pounds.
