Description

Position Summary:

Under direction of the Bank President, and working closely with the Head of Retail, the Operations Administrator is responsible for planning, organizing, and executing day-to-day operational activities of the bank. Monitors operations and implements process improvement to ensure that the bank operates in a safe, compliant and efficient manner.

Duties and Responsibilities:

  1. Ensures that all operational aspects of the Bank's activities are executed in a safe, efficient, and compliant manner and in the best interest of the Board of Directors, customers, employees, and the public.
  2. Learns and maintains working knowledge of all banking products, services and procedures.
  3. As needed throughout the workday, engages in bank operations to provide branch support and for various operations including but not limited to account opening, product sales, wire instructions, and processing. Serves as primary back up support for consumer and commercial loans.
  4. Maintains highest level of customer support. Responds to inquiries and provides diligent follow through to ensure customers are directed appropriately and issues are resolved.
  5. Makes recommendations to bank leadership regarding operational improvements. Leads, manages, and implements best practices around key banking functions (e.g., branches and departments, products, and services; budgeting, planning, technology, loan servicing, etc.). Provides training to bank staff around process changes and operational improvements. Works with FMHC to align on shared services and specific needs of Warsaw Federal.
  6. Takes the lead on operational projects related to facilities, products and services, technology, standardized policies and procedures. Develops project plans, timelines and communications. Communicates clearly with all parties and ensures final results of projects.
  7. Working with the Head of Retail, gives input on procedures and quality control in order to assure efficient operations and implementation of best practices. Addresses non-compliance issues and provides training as needed. Reports significant or repeated violations to bank management.
  8. As needed and directed, provides assistance and input on strategic plans and supports bank committees related to bank operations. Monitors the progress of key operational objectives and provides periodic updates to the President.
  9. Serves as contact for bank regulators (FHLB, FRB, and OCC). Responds to requests, collects needed data, communicates with key internal partners, and keeps bank leadership up-to-date.
  10. Serves as Bank Secrecy Act (BSA) Officer for Warsaw Federal. Oversees fraud prevention/response (including ACH and check fraud) and monitors various reports and alerts for suspicious account activity and to ensure regulatory compliance. Complete all Currency Transaction Reports and Suspicious Activity Reports. Understands and stays up to date with applicable banking laws. Assesses the effect of regulatory changes on overall Bank compliance and risk and ensures such matters are communicated to the President on a timely basis.
  11. Complies with all applicable banking laws and regulations, including but not limited to the Bank Secrecy Act, USA Patriot Act and related anti-money laundering statutes and federal consumer protection legislation and regulations.
  12. Other duties as required.

Requirements

Qualifications and Skills:

  1. 3-5 years of related banking experience including operations, sales, and customer service is required.
  2. Strong knowledge of ACH; wire transfers; debit; credit and prepaid card operations; banking regulations; loan and deposit operations; and risk controls is required.
  3. Demonstrated ability to write and implement operational procedures is required.
  4. Bachelor's Degree in a related field is required. MBA is preferred.

Physical Environment

  • While performing the duties of this job, the employee is regularly required to lift, walk, stand, sit, bend, reach with hands and arms, climb, push/pull, use hands, and see, hear and speak.
  • The employee must occasionally lift and/or move up to 25 pounds.
  • The noise level in the work environment is usually quiet to moderate.
  • This position is generally performed in an office setting however may require outside participation or weekends. Typical work hours being 8:30a through 5:30p.
