Work Schedule Monday - Friday, 8 AM - 5 PM (20 hours per week)
Other Work/Responsibilities

Key Responsibilities

  • Assist project managers with the planning, coordinating, and implementing projects, including renovations, relocations, and maintenance. This includes contributing to project plans, schedules, and logistics.
  • Provide support to project managers in the development and management of project budgets and timelines. This may involve tracking expenses, monitoring progress against deadlines, and identifying potential issues.
  • Manage day-to-day items (perform walkthroughs, communicate with various departments etc. as needed, submit and coordinate surplus requests, grant/revoke facility SAT (ID card) access, management of keys to include tracking, deployment, and collection.
  • Coordinate with internal and external stakeholders, including contractors, vendors, and college staff, to ensure effective communication and collaboration throughout the project lifecycle.
  • Maintain accurate and complete project documentation and records, including contracts, invoices, and progress reports.
  • Assist with coordinating furniture and equipment installations, including deliveries, placement, and setup.
  • Conduct regular site inspections and assessments to monitor project progress, quality, and compliance with safety regulations.
  • Support the implementation of health and safety protocols related to projects, ensuring a safe working environment for all involved.

Minimum Experience/Education

  • At least 1-2 years of experience in a project coordination, or administrative support role.
  • Experience in coordinating projects related to renovations, and/or maintenance
  • Familiarity with managing budgets, schedules, and coordinating logistics for projects.

  • Proficiency in MS Office Suite and/or Google Workspace.
  • Experience assisting in the planning, coordination, and implementation of projects (renovations, relocations, maintenance).
  • Experience with basic project coordination and administrative tasks.
  • Strong organizational and time management skills.
  • Effective communication and interpersonal skills.
  • Ability to work independently and as part of a team.

Preferred Years Experience, Skills, Training, Education

  • Experience working in a higher education environment.
  • Familiarity with facilities management practices and procedures.
  • Knowledge of building codes and safety regulations.
  • Experience with task management platforms such as ServiceNow, Trello, and Evernote.
