About the Job

The Department of Anesthesiology's Education Office is a fast-paced, collaborative office which serves medical students, residents, and fellows within the Department as well as the faculty who support these education programs. This role serves as the Undergraduate Medical Education (UME) Administrator, which oversees all medical student courses, clerkships, observerships, and visiting learners within the Department of Anesthesiology. This role also provides administrative support for the Anesthesiology Education Office.

Ideal candidates must demonstrate initiative, resourcefulness, independent work skills, and strong interpersonal communication skills to be an integral part of this team's work. They are able to flexibly manage multiple priorities at once. They are organized and able to create timely and orderly workflows, often leveraging technology to maximize efficiency.

This position reports to the Residency Program Administrator in the Department of Anesthesiology and works closely with the education faculty leadership team. This is a hybrid position with 3 days on site per week. This role requires event support outside of normal working hours approximately 1-2 times per month.

Major Responsibilities:
70% Anesthesiology UME Coordinator:
* Supports the Department of Anesthesiology Medical Student Education Director by coordinating undergraduate medical education (UME) courses for the Department of Anesthesiology, including management of course sites, updating of syllabi, tracking of course rosters, coordination of course evaluations, and communications with key stakeholders
* Supports medical students on rotation in anesthesiology by coordinating clinical schedules, academic lecture schedules, grades, letters of recommendation, and onboarding to clinical sites
* Onboards medical students for participation with Department of Anesthesiology research projects
* Coordinates funding and payments for medical students traveling to present at anesthesiology conferences
* Promotes the field of anesthesiology by partnering with faculty and the Anesthesiology Interest Group (AIG) to plan and host events for medical students
* Leverages technology to implement and improve innovative, efficient, and standardized processes for UME projects within the Department of Anesthesiology

10% Visiting Learner Support
* Coordinates all non-department learner and faculty rotations and experiences within the Department of Anesthesiology, ensuring appropriate access and scheduling is planned in advance of their visit

20% Education Administrator
* Warmly communicates accurate and timely information to medical students, faculty, and outside requests from a departmental email account
* Provides dependable office coverage and support
* Supports the Department of Anesthesiology education events with on-site staffing, sometimes outside of normal working hours
* Tracks faculty participation in anesthesiology education events for promotion and tenure
* Supports education faculty with recertification courses
* Partners with finance partners and other staff to manage and pay invoices, complete purchase orders and check requests, complete office supply and catering orders, reconcile Pcards, and complete conference registrations
* Assists the Residency Program Administrator with education tasks and special projects, as needed

Qualifications

Required Qualifications: (must be documented on all application materials):
* BA/BS or a combination of related education and work experience to equal four years
* Ability to utilize Google Drive, Gmail, and Google Calendar for organizational and collaborative purposes
* Ability to take initiative and use resources to problem-solve
* Ability to multitask and flexibly prioritize to meet deadlines
* Ability to independently track outstanding tasks and follow through on their completion
* Strong attention to detail
* Interpersonal skills, including the ability to communicate in an effective and professional manner (both written and verbal)
* Ability to work comfortably on a dynamic, fast-paced, growth-oriented team
* Ability to work hours outside of the normal work day on occasion and with advance notice as needed for education event support

Preferred Qualifications:
* Desire to support learners at a variety of educational levels
* Experience working in healthcare or an academic setting
* Enthusiastic and knowledgeable about technology and leveraging it as a tool for organization and program improvements
* Comfortable scheduling and running Zoom meetings
* Prior experience using Qgenda, Qualtrics, Peoplesoft, MEdIS, and Canvas
* Training in and knowledge of University of Minnesota systems, policies, and procedures

Pay and Benefits

Pay Range: $24.91-$32.24/hour; depending on education/qualifications/experience

Time Appointment: 75%-100% Appointment
