About the Role

The Executive Assistant will provide day-to-day administrative support for Executive Team. This position is located at our team headquarters in Lake Forest, IL, working 5 days a week in the office from 9AM - 5PM (hours can flex pending circumstances). Must be able to work every home game. Travel may be required as needed throughout the year.

Responsibilities

  • Provides administrative support including, but not limited to, managing calendars, making travel arrangements, preparation of correspondence, processing mail, taking notes, and maintaining filing.
  • Assists in creation of communication materials including PowerPoint presentations, meeting notes and agendas.
  • Reconciles Club credit card charges, submits expenses, reviews invoices, and monitors and ensures adherence to budgets. Communicates with finance regularly to review budgets and adjust forecasts as needed throughout the year.
  • Creates and distributes gift boxes for special occasions and as requested.
  • Schedules meetings and maintains contacts in Outlook and/or cell phones.
  • Coordinates the successful execution of contracts with in-house legal, and 3rd parties. This includes routing for signature and maintaining files for all completed contracts to SharePoint system.
  • Ensures compliance with Club's document retention policy for assigned executive.
  • Serves as the liaison to all departments as needed in order to meet the needs of the Executive Team.
  • Coordinate mailings of items as such as cards, letters, etc.
  • Orders and maintains supplies, including necessary inventory.
  • Orders food and prepares gifts/materials for various meetings, events, and gameday. This includes pre-event/meeting communication and welcoming business guests upon arrival.
  • Send invitations and track RSVPs for various events and luncheons.
  • Support Executive Team on gamedays (home and away) as needed. This includes coordinating game tickets, catering, gameday parking, field pass coordination, and distribution. May host guests or VIPS on behalf of Executive Team.
  • Assist with other miscellaneous projects and duties as assigned.

Qualifications

  • Bachelor's degree or high school diploma/GED along with equivalent work experience.
  • Minimum of 8 years administrative experience supporting an executive.
  • Proficient in Microsoft Office (Outlook, PowerPoint, Word, Excel etc.).
  • Must be able to effectively work in a fast-paced environment and demonstrate the ability to calmly juggle multiple competing tasks and projects while keeping key constituents in the loop.
  • An excellent sense of discretion and integrity with regard to highly sensitive and confidential information.
  • Must be dependable, willing to take initiative and adapt to a variety of situations.
  • Strong time management, problem solving skills, and the ability to think proactively and anticipate needs.
  • Possess excellent communication skills, including written and oral correspondence. This includes the ability to establish a rapport with others and build strong interpersonal relationships with a variety of personalities.
  • Must be service and team oriented; helpful, and friendly.
  • Must be proficient with accounting processes and procedures.
  • Must have strong organizational skills which includes the ability to prioritize and maintain superior attention to detail.
  • Demonstrated ability to work independently, professional judgment, and sound decision-making skills.
  • Ability to work non-traditional hours in non-traditional settings which may include evenings, weekends, and game days.

COMPETITIVE INDUSTRY PAY

The Executive Assistant is a full-time non-contract position. This position is an exempt role and the expected salary range for this role is $90,000 - $130,000 per year. Exact compensation may vary based on skills, experience, and other job-related factors.
