The Mellon College of Science (MCS) is home to four departments and many programs and research centers that cross disciplines. We approach scientific problems from fresh angles using creative interdisciplinary approaches while drawing on our departmental strengths in the core sciences. MCS faculty members are nationally and internationally recognized for their research in a variety of fields, including polymer science, cosmology, mathematical finance, and neuroscience.

We are searching for an Employment Processes Manager to support the human resource operations in the departments of Biological Sciences and Chemistry for faculty, staff, students, and visitors. In this role, you will maintain HR policies and procedures for the department ensuring compliance, timeliness and accuracy while maintaining a warm and welcoming service-oriented office. You will manage HR processes for the departments, as well as serve as a key resource and advisor regarding employment matters, and act as a liaison to central CMU Human Resources team. The services managed include employment recruiting, onboarding, job reassignments, transfers, and separations, job postings, and visa immigration processing.

Core Responsibilities:

  • Handles confidential matters such as promotion cases, faculty, and special faculty personnel records, as well as RPT cases for faculty. These reports require soliciting confidential information from faculty of other universities and students, compiling this information in Interfolio, using MCS guidelines for submission for approval.
  • Request position postings to ensure the completion and forwarding of collaborating visitor forms to the appropriate entities, completion and sending of the Workday checklist to the appropriate person, drafting and mailing of the offer/appointment letters and scanning and mailing to the appropriate Workday Initiator and Dean's office.
  • Coordinates foreign scholars and students with obtaining visas as needed, includes requesting appropriate scholar information, completing forms as needed, corresponding with the Office of International Education, and keeping in touch with the scholar to ensure process is progressing and confirming planned start date, etc.
  • Coordinates with preparation of faculty reappointment, promotion, and tenure cases via the Interfolio system.
  • Coordinates with faculty searches, to include, but not limited to, requesting the position posting, advertising in the appropriate journals, drafting letters to historically minority universities and other diverse groups as are appropriate and mailing to a specified audience, requesting student rosters, drafting, and sending emails to student, external and internal referees and tracking the receipt of letters, sending reminders and thank you emails to responders.
  • Works closely with faculty search chairs in faculty recruiting efforts via Interfolio: send drafted advertisements to chemistry journals/websites; draft/send with approval of committee chair solicitation letter; prepare informational spreadsheet; assist committee chair with scheduling candidate visits; prepare post-hire Faculty Affirmative Action Form report.
  • Interprets and implements University policies and procedures.
  • Manages various records, including employment history, and prepares records for relevant periodic audits. The successful candidate will also coordinate internal procedures, and maintain documentation. This position may take on new responsibilities as the departments grow.

Qualifications:

  • Associate's Degree preferred; Bachelor's degree desired.
  • Minimum three years of administrative support experience; a combination of education, training and experience may be considered.
