Position Overview: We are looking for a highly organized and detail-oriented Temporary I-9 Remediation and Digitization Coordinator reporting into HR Compliance Manager to support our efforts in reviewing, remediating, and digitizing I-9 records using HireRight and Equifax systems. This position will play a critical role in ensuring the accurate, compliant remediation of I-9 documentation, transitioning from paper-based records to a fully digitized format, and ensuring compliance with federal regulations. Key Responsibilities:
- I-9 Remediation:
- Review current I-9 records to ensure they are complete and compliant with federal I-9 regulations.
- Identify and resolve discrepancies in I-9 forms, such as missing signatures or incorrect documentation.
- Collaborate with HR and relevant departments to collect missing information and resolve issues.
- Ensure proper documentation and communication of all remediation actions taken.
- Digitization of I-9 Forms:
- Digitize physical I-9 forms and supporting documents into secure, organized electronic files.
- Upload I-9 records to the HireRight and Equifax systems, ensuring accuracy and proper categorization.
- Maintain a systematic and organized process for digitizing and storing I-9 documentation.
- Compliance and Accuracy:
- Ensure all I-9 records are compliant with U.S. federal regulations and organizational policies.
- Track the progress of remediation and digitization, identifying any areas for improvement or additional support needed.
- Assist with ensuring proper storage, protection, and retrieval of digitized I-9 records, adhering to data security protocols.
- Reporting and Documentation:
- Create and maintain detailed reports of I-9 remediation progress and digitization status for management review.
- Provide regular updates and documentation for audits or internal reviews.
- Assist with any ad-hoc reporting or documentation requests related to I-9 compliance.
- Collaboration and Support:
- Work closely with Local Site HR Operations & HR Regional Center of Excellence to ensure efficient and compliant remediation and digitization processes.
- Provide support for any questions or issues that arise during the remediation and digitization process.
Qualifications:
- Associate or bachelor's degree preferred.
- Previous experience with I-9 compliance, HR systems, or document management preferred.
- Subject Matter Expert with I-9 regulations and federal compliance requirements.
- Experience with HireRight, Equifax, or similar systems is a plus.
- Strong attention to detail and accuracy, with the ability to identify discrepancies in records.
- Excellent organizational and time management skills, with the ability to prioritize tasks in a fast-paced environment.
- Strong communication skills, both written and verbal.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook) or similar office software.
