Job Summary |
The
Harrison College of Pharmacy Division of Research is hiring for an
Administrative Support Associate to provide general clerical support at our Pharmacy Research Building location.
The Administrative Support Associate at the Harrison College of Pharmacy, Mobile campus, plays a crucial role in ensuring smooth operations and providing exceptional service to guests, students, faculty, and staff. This position involves a variety of administrative and clerical tasks, requiring a professional and courteous demeanor both in person and over the phone. |
Essential Functions |
- Greets and receives guests and students at the Harrison College of Pharmacy, Mobile campus. in person and over the phone in a professional and courteous manner
- Assists the Interim Assistant Dean with administrative tasks, supply procurement, accounting/invoicing for supplies
- Serves as a liaison to USA Building Management, Campus Security and Safety, other USA departments, clients, and students on behalf of HCOP
- Handles maintenance service requests and scheduled office/building maintenance
- Receives and logs daily mail and package deliveries
- Assists faculty, students and staff with a wide variety of administrative tasks such as travel/expense voucher and purchasing card processing, and Tiger Buy.
- Performs multiple administrative and clerical duties , which may include, but are not limited to data gathering, data management, correspondence, filing, calendar management, event scheduling, registration, mail distribution, answering the phone, website maintenance, and purchasing/ordering supplies,
- Performs administrative duties to support Mobile campus student and faculty recruitment, including contacting applicants, scheduling interviews and coordinating interview process
- Prepares reports/documents/presentations, or coordination of complex projects
- Coordinates wide variety of HCOP Mobile campus events such as awards ceremonies, workshops, graduation, student orientation, open house, Pharmacy camp and Hargreaves Day.
- Advises faculty, staff and students of standard policies and procedures.

Minimum Qualifications

Level I:
- High school diploma or equivalent.
- 2 years of experience in clerical and administrative support services OR a degree to substitute for experience.
Level 2:
- High school diploma or equivalent.
- 4 years of experience in clerical and administrative support services OR a degree to substitute for experience.

Minimum Skills, License, and Certifications
Minimum Skills and Abilities |
- Knowledge of office rules, procedures and operations that require previous training and experience to perform.
- Excellent organization skills
- Experience a fast-paced office environment
- Strong professionalism and decision making skills
- Ability to attend all HCOP campus events, some of which may occur after normal work hours

Minimum Technology Skills |
- Intermediate experience of Microsoft Office Suite, including calendar management
- Ability to learn and use multiple software programs

Minimum License and Certifications |

- Intermediate experience using Adobe document management software
- Experience supporting multiple professionals
- Experience with Banner, Kronos, Tiger Buy systems
