Answer a multi line switchboard and greet visitors. Maintain the mailroom. Assisting sales department in administrative tasks.

Duties and responsibilities:

  • Answer incoming phone calls.
  • Greet and direct visitors.
  • Accept and distribute mail.
  • Locate personnel for internal purposes as well as external customers/visitors.
  • Receive in bound work orders, assign work order numbers, and put orders into Mapics system.
  • Print out work orders and deliver to appropriate departments.
  • Maintain supplies for mailroom and copier.
  • Administers in and outgoing office package services and mail.
  • Assist employees and guests with questions.
  • Organize meetings and conference rooms.
  • Administer Critical Reports by assigning chassis and VIN number.
  • Update Re-cap forms and enter into Mapics.
  • Will be required to perform other duties as requested, directed or assigned.

Qualifications/Training:

  • Phone systems, e-mail, and internet browsing skills required.
  • Must have the ability to read, write, and perform mathematical computations at a level required for successful job performance.
  • Proficient in computer use and report generation using Microsoft Office Business Suites.

  • Must be trustworthy with highly confidential information.
  • Able to handle an emergency situation calmly.
  • Ability to work in a courteous and professional manner with the public and employees.
  • Ability to type a minimum of 40wpm.
  • Ability to read, write, comprehend and verbally communicate simple instructions, short correspondence and memos in English.
  • Ability to multi-task in a fast-paced environment
  • Ability to solve practical problems and deal with a variety of changing situations.
  • Must be computer literate and have some working knowledge of a general APICS or MAPICS system.
Education/Experience:
  • High School Diploma or equivalent.
  • One year Administration/multi-phone line experience

The noise level in the work environment is usually quiet.
