MPS, a division of Macmillan Publishers, a leading US publisher of Trade and Academic titles, has a job opening for a Human Resources Operations Specialist in our Gordonsville facility. MPS provides back office support, warehousing, and, fulfillment for Macmillan US, and is their primary distribution facility for North America.

Position Summary:

The HR Operations Specialist plays a critical role in ensuring the HR team operates efficiently by managing administrative processes, supporting communications and scheduling efforts, and maintaining compliance. This role is ideal for a proactive, detail-oriented professional with strong organizational and communication skills who aspires to grow into an HR leadership position.

Key Responsibilities:

Task & Deadline Management:



  • Track HR projects, maintain team calendars, and ensure key HR deadlines are met.
  • Update calendars with important deadlines, reminders, and events.


HR Operations Support:



  • Assist with administrative tasks, such as scanning, filing, and maintaining organized records in the appropriate locations.
  • Support HR process improvements and system administration.


Scheduling & Coordination:



  • Help schedule interviews, meetings, employee events, and training sessions, ensuring timely follow-ups.
  • Coordinate logistics for various activities, including employee lunches, wellness initiatives, and commemorative month events.


Employee Communication:



  • Draft and distribute company-wide HR communications, policy updates, and reminders.
  • Assist with communications for wellness initiatives, employee engagement activities, and other HR-related events.


Recruiting Support:



  • Assist in conducting reference checks for job candidates.
  • Coordinate and schedule New Hire Orientations and other applicable onboarding meetings.
  • Prepare Swag Bags for new hires.
  • Collect, maintain, and follow-up on new hire forms and documents.


Compliance & Reporting:



  • Support HR compliance efforts by tracking legal and regulatory requirements (FMLA, ADA, OSHA, etc.).
  • Generate reports and assist with data tracking as needed.


Process Improvement:



  • Identify inefficiencies in HR workflows and recommend solutions to enhance team efficiency.


Qualifications & Skills:



  • Some college preferred; however, equivalent professional experience will be considered in place of formal education
  • Ability to; read and interpret documents such as benefit manuals, operating instructions, and handbooks, write routine reports and correspondences, and the
    ability to speak effectively before groups of employees of the organization
  • Ability to; add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals, compute rate, ratio and percent and
    to prepare and interpret bar graphs
  • Strong interest in pursuing a career in human resources.
  • Excellent organizational and time management skills, with the ability to prioritize and multitask effectively.
  • Exceptional attention to detail and accuracy.
  • Strong communication and interpersonal skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Proficiency in Microsoft Office Suite and familiarity with HRIS (Human Resources
    Information Systems) preferred.
