Summary of Job Duties:The Director of Admissions and Student Services provides leadership in vision, strategic planning, and coordinated implementation of recruitment, admissions, and student services support to make the UAMS GRS an attractive program to qualified applicants. The Director maintains individual and summary records of applications, establishes relationships with applicants and guides them through the multi-step application process. The Director makes recommendations for strengthening applications, starting with transcript reviews all the way to admissions decisions. The Director also provides data driven analysis to guide admissions and recruitment decisions.

The mission of GRS Student Services is to support students from recruitment to graduation with an individualized approach that integrates personal and professional development. This position is critical to operationalize this mission to ensure student academic success as well as personal and professional development.

This position will also serve as the Principal Designated School Official that works with the Student and Exchange Visitor Program to facilitate international students studying at UAMS. Qualifications:
  • Bachelor's in education, business, or any related field with five (5) years of administrative experience with two (2) years of progressive work experience in higher education.
  • Must have excellent verbal and written communication and interpersonal skills.
  • Must be proficient in the Microsoft Office suite.

Preferred Qualifications:

  • Master's degree in education, business or related field.
  • Experience utilizing Centralized Application Service or equivalent admissions platform.
  • Workday experience.

Additional Information:

Responsibilities:

  • Process clearance procedures for graduating students.

  • Facilitate, maintain, and track the application process and interface with the new Student Information System.

  • Provide up-to-date applicant information, notify programs when applications are complete, process all admission decisions made, and initiate admissions letters.

  • Serve as the primary administrator and contact for Graduate School CAS (Centralized Application Service)

  • Ensure seamless communication and operations with Graduate School CAS administrators.

  • Annually update Graduate School admissions requirements and related materials (application questionnaire, configuration panel, and school directory pages) in Graduate School CAS.

  • Address applicant questions and concerns related to the Graduate School CAS

  • Manage Graduate School semester course offerings.

  • Ensure institutional and student compliance with law by learning, interpreting, and applying laws and government policies, and advising international students.

  • UAMS representative for annual meetings of the National Association of Foreign Student Advisors and online/regional policy workshops.

  • Work with faculty and staff in all colleges regarding immigration policy and regulations for new and continuing international students.

  • Counsel international students in F-1 student status at UAMS in regard to regulations for registration of courses, immigration planning beyond program completion, and any issues that might arise while these students are listed in the Student and Exchange Visitor Information System (SEVIS) under the University of Arkansas for Medical Sciences.

  • Serve as an ex-officio member of the admissions committee.

  • Schedule and run admissions committee meetings.

  • Provide administrative support and insights for decision-making.

  • Share applicant data, updates, and recommendations with committee members.

  • Utilize data insights to propose changes in policies, deadlines, or support mechanisms.

  • Mentor student ambassadors involved in admissions activities.

  • Review admissions outcomes regularly with the Associate Dean for Academics to ensure strategic plan alignment.

  • Analyze application trends and statistics to inform decision-making.

  • Leverage analytics to inform and guide recruitment and admissions strategies.

  • Present key findings and admissions status updates to stakeholders, faculty, staff, and leadership.

  • Develop metrics to assess applicant engagement and support initiatives.

  • Assess the effectiveness of admissions deadlines and requirements.

  • Collect and analyze data on interview days to enhance the applicant experience.

  • Facilitate clear and consistent communication with applicants and feeder programs.

  • Coordinate with key UAMS departments, including the Registrar's Office, Financial Aid Services, to support admissions.

  • Manage student information systems (GUS, Workday) and act as the primary liaison between the GRS and the Office of University Registrar (OUR) to ensure seamless data integration.

  • Oversee admissions-related data management, ensuring accurate and up-to-date record-keeping within institutional systems (Box).

  • Serve on institutional committees as needed.

  • Ensure all admissions-related information is accurate and up to date on GRS website during application cycles.

  • Assist with documentation and record-keeping for committee decisions.

  • Perform other duties as assigned.
