What this job involves -
The Facility Coordinator is part of JLL's Experience Services team and ensures client satisfaction with site leadership team by providing a seamless interface of the client real estate organization and facilities through operational excellence, responsiveness and creativity that develops and maintains a positive relationship. Acts as an interface with client, visitors, and guests. Acts collaboratively to solve problems and resolve spontaneous and unique situations with professionalism and service orientation.

The Facility Coordinator also provides general overall FM services including continuous monitoring of facility. Works with property managers to handle routine property management operations, including procurement of property supplies and services, issuing purchase orders, managing bid requests and service/construction contracts, and processing of accounts payable and accounts receivable.

Your day to day:

Essential Functions

  • Assist with researching, analyzing, and reporting budget variances.
  • Helps support cost savings targets to contribute to exceed or achieve account savings goals.
  • Assist Facility Manager with tactical planning for the facilities team goals and objectives.
  • Assists with receiving and dispatching work requests to technical staff, vendors, or other services providers.
  • Resolves problems associated with all building services including janitorial, food service, coffee services, parking, vending, security, conference rooms, furniture as well as interior and exterior furnishings, fixtures, and equipment.
  • Provides support for meetings, events, and conference room reservations as needed and directed.
  • Assists with the coordination and scheduling of maintenance activities.
  • Provides facility specific assistance as needed or requested.
  • Ensure delivery of committed services and overall satisfaction with JLL performance.
  • Reads and understands the applicable Service Level Agreements, helps achieve the Key Performance Indicators and scores favorably on the client satisfaction surveys.
  • Ensures appropriate follow-up with customers.
  • Seeks to continuously improve processes, systems, and overall client satisfaction.
  • Provides direction/information to vendors, facilities staff and service providers as required, to ensure excellent coordination/execution of work within client environment with minimal disruption, as needed.
  • Ensures all supply orders are placed in a timely manner.
  • Monitor and report to the Facility Manager on the facility operation, through both direct employees and third-party service providers, to ensure that all KPI's and SLAs are met or exceeded.
  • Manage and maintain small facility management tasks as assigned.
  • Provide general overall facility management services including continuous monitoring of office/facility.
  • Act as an interface with client, visitors, and guests.
  • Ensure appropriate follow-up with customers.
  • Provide direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/execution of work within client environment with minimal disruption.
  • Assist with budgetary requests, analysis, and reporting.
  • Any and all other tasks and duties assigned.

Qualifications

  • High school diploma, GED, or equivalent is required.
  • Associates degree in facilities management, building or business or other related field.
  • Bachelor's degree preferred.
  • 2+ years' experience with Facility or Property Administration
  • High proficiency in using Microsoft Office software (Excel, Word, Outlook, etc.).
  • Strong interpersonal and communication skills
  • Team player with strong organizational skills
  • Ability to communicate information in an organized and concise manner in both oral and written reports.
  • Superior customer service skills and orientation

Estimated total compensation for this position:

65,000.00 - 70,000.00 USD per year

The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
