Credence has immediate need for an experienced Office Manager for our corporate headquarters office to support facility operations. The successful candidate for this opening will have experience with the essentials for managing and running an office/facility. Must have functional day-to-day operations experience in handling all seen and unseen office operations to ensure that the office's needs are fully supported by a solid leader with the ability to manage, direct and collaborate within our diverse community of individuals across the Credence community.



Responsibilities include, but are not limited to the duties listed below

Must have previous exposure to duties and responsibilities essential for Office Operations and Functions. Manage day-to-day operations to ensure quality and standards are met for key leadership and department heads as well as all onsite team members. This individual should drive and promote teamwork and quality service through daily communication and coordination with other departments (including management, human resources, IT Support, and Building Maintenance). Ensuring that all Credence employees and guests receive a superb experience while on the premises.

A successful Office Manager will perform and provide oversight on various internal and external needs and actions such as:

    Schedule coordination, meeting and conference planning, facility related logistics coordination, appropriate prioritization of competing demands, etc.
  • Understand and advise on the facilities' rules, operations, and regulations according to the building management's lease agreement or tenant manual.
  • Communicate with employees, and other individuals to answer questions, disseminate or explain information, take orders, and address complaints.
  • Ensure Office space is kept in top condition which may include scheduling maintenance with third party vendors, submitting service requests with building management, ensuring trash and recycling are put in the appropriate place to be picked up by the cleaning service, and any cleaning services are being regularly scheduled as needed.
  • Manage office access, including Visitor and New employee check-in/checkout processes, ensuring the front reception desk is manned during normal business hours.
  • Supervise, coordinate, and review the work of assigned support vendors.
  • Perform procurement, office supply orders, and other administrative functions and ensure the kitchen, pantry and supply cabinets are stocked appropriately.
  • Issues RFP's to contractors for equipment and systems maintenance. Explores and solicits alternative options for products and services to maintain high standards at Corporate office and opportunities to reduce budgetary expenses.
  • Manage relationships with maintenance and vendor companies to keep the office clean and safe and ensure its appliances are in good working order.
  • Responsible for managing all ingoing and outgoing Credence mail and packages.
  • Answering Credence telephone calls and general inquiry emails from customers and clients and directing them to relevant staff.
  • Assist with planning and management of DC area company events.
  • Coordinate facilities issues, submitting service tickets with building management/engineer's offices.
  • Coordinate customer/partner events in Credence offices setting up conference rooms, ordering catering, etc.
  • Act as primary liaison with building management for communications, parking pass management, and building access management.
  • Managing Credence-branded item inventory, including ordering from the online employee store and tracking physical onsite inventory.
  • Coordinate with HR to administer event-related outreach to DC area employees.


Education, Requirements and Qualifications

  • Bachelor's or equivalent, with 2-4 years of experience. Bachelor's substitution is 4 additional years of experience
  • Must be professional and friendly.
  • Must have excellent written and verbal communication skills to effectively represent Credence to external vendors and internal stakeholders.
  • Must be able to confidently use Office software (Office, Excel, Adobe, Teams, etc.)
  • Must be able to solicit, evaluate, negotiate, and administer relationships with external vendors/partners.
  • Must be able to analyze and advise on administrative process management and improvements.
  • Must have the ability to work independently, while having a strong collaboration with multiple internal Credence departments.
  • This position must be performed 5 days a week on-site and does not qualify for hybrid or remote status.
  • Candidate must be a US Citizen


Working Conditions and Physical Requirements

  • Credence offices have a working casual, professional dress code and the Office Manager should maintain a professional appearance at all times.
  • Sitting/Standing for extended periods of time. Lifting up to 25 lbs. Need to be able to quickly welcome guests and answer phones.

Additional Information/Instructions for the Recruiting Team:

May include short-term or occasional support at other Credence corporate offfices in the DC/VA area. Candidate must have transportation to navigate throughout the DMV as needed
