What this job involves:

The Workplace Ambassador/Mailroom Clerk plays a crucial role in creating a positive and engaging workplace environment for employees and visitors. This role involves providing exceptional customer service, fostering community and collaboration, and supporting various workplace initiatives. The Workplace Ambassador serves as a friendly and knowledgeable point of contact, ensuring that the workplace operates smoothly and meets the needs of occupants and stakeholders.

Your day to day:

* Mail Organization: Sort and collate mail, dispose of junk mail, Sort mail, such as returned letters, resolve issues with incorrect, returned mail, receive outgoing mail and apply correct postage, arrange for pickup of outgoing mail, Stamp mail with postage meters, Fold letters, circulars or other documents and insert into envelopes for distribution, Record registered mail
* Mail Distribution: Place mail in proper buckets for distribution, Process outgoing shipments (Fed-Ex, UPS, DHL and USPS), Weigh mail to determine correct postage, Place mail in metal bins and carry to departments for distribution
* Customer Service: Provide excellent customer service to employees and visitors, responding to inquiries, providing information, and addressing concerns promptly and professionally.
* Workplace Support: Assist employees with workplace-related needs, such as room bookings, equipment requests, and IT support coordination. Act as a resource for workplace policies, procedures, and resources.
* Event Coordination: Assist in the coordination and execution of workplace events, meetings, and activities, including room setup, catering coordination, and audiovisual setup.
* Workplace Amenities: Maintain and manage workplace amenities, such as break rooms, lounges, wellness rooms, and collaborative spaces. Ensure cleanliness, orderliness, and functionality of these spaces.
* Workplace Health and Safety: Promote and uphold workplace health and safety protocols and procedures, including proper use of equipment, adherence to emergency procedures, and reporting of incidents or hazards.
* Workplace Policies and Procedures: Educate employees on workplace policies, procedures, and guidelines. Ensure compliance with workplace rules, regulations, and standards.
* Continuous Improvement: Proactively identify opportunities for process improvement, service enhancement, and cost savings within the workplace. Provide feedback and suggestions for optimizing the workplace experience.
* Additional Administrative Requirements as Needed: Engage in a range of organizational support tasks that may include document management, data entry, scheduling, coordinating meetings, or assisting with special projects. Adapt to changing priorities and contribute to the smooth operation of different departments as needed.

Requirements:
* High school diploma or equivalent; additional certification or coursework in customer service, business, or a related field is a plus.
* Proven experience in a customer service or hospitality role, preferably in a corporate or commercial real estate environment.
* Excellent interpersonal and communication skills, with the ability to build relationships, communicate effectively with diverse individuals, and provide exceptional customer service.
* Strong organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
* Tech-savvy, with the ability to navigate workplace technology tools, equipment, and software.

Preferred:
* Professional and approachable demeanor, with the ability to represent the workplace effectively and positively.
* Flexibility and adaptability to changing work demands and work schedules, including occasional weekends or evenings for special events or support needs.
* Knowledge of health, safety, and security protocols applicable to the workplace.
* Basic knowledge of office equipment, operations, and administrative tasks.
* Strong problem-solving skills and the ability to address and resolve workplace-related issues.
* Passion for fostering a positive work environment and promoting employee engagement and morale.
