Job Title: Front Desk Event Coordinator Job Summary: As a Front Desk Event Coordinator, your primary responsibility is to provide exceptional customer service and assistance to employees, customers, visitors, and vendors. You will be the first point of contact, ensuring a welcoming and professional experience for everyone. Building strong relationships and enhancing employee and customer satisfaction will be essential to your success in this role. Key Responsibilities:
- Greet and welcome employees, customers and visitors providing a friendly and professional demeanor with emphasis on supporting executive leaders.
- Professional self-presentation that is business appropriate at all times.
- Maintain a lobby environment that is clean, tidy and accurately reflects the corporate image of the client.
- Thorough knowledge of the building's facilities, services, and amenities.
- Assist employees and visitors with inquiries, such as directions, parking, building access, luggage storage and local attractions.
- Verify building access and process visitor and temporary badges adhering to corporate security policies and procedures.
- Understand and adhere to client environmental policies.
- Proactively collaborate with property management and/or Facility Manager to resolve building issues and repair requests.
- Handle incoming phone calls, emails, and other forms of communication, addressing inquiries promptly and effectively.
- Manage the master events calendar and intake requests, confirm event requirements and ensure operations stakeholders fully understand requirements through management of communication channels, briefing and planning meetings.
- Responsible for coordinating meetings and events logistics including arrangement and set up of catering services, audiovisual equipment and furniture set up requirements.
- Plan and confirm presenters for Executive Briefings, Office Tours and Demos
- Maintain event management tools with accurate and timely information and post-event reporting.
- Coordinate with broader Events and Customer Experience Center (CXC) teams on needs, reporting and prioritization.
- Partner with internal Food and Beverage Catering Manager for large scale events.
- Exercise sound judgement to ensure that events are delivered to exceed client expectations, while maintaining adherence to guidelines and processes and leveraging meeting industry best practices and experience.
- Oversee office snack program and coffee service.
- Confirm technical functions of the room are in working ordereach day and after each meeting.
- Maintain a professional and organized breakroom area ensuring cleanliness and tidiness, keeping a pulse check on par levels.
- Receive and distribute mail and packages to employees and handle courier services.
- Responsible for office management including office supplies, print services, luggage, parking, etc.
Qualifications:
- High school diploma or equivalent; bachelor's degree, additional certifications or relevant training is a plus.
- Minimum 2 years relevant experience required.
- Previous experience in customer service, hospitality, events management or a similar role is highly desirable.
- Excellent verbal and written communication skills, with a focus on professional phone etiquette.
- Strong interpersonal abilities and the ability to provide exceptional customer service.
- Excellent organizational and time management skills, with the ability to prioritize effectively.
- Proficiency in using computer systems, including MS Office Suite and property management software. Comfortable embracing new technologies.
- Ability to handle difficult situations with composure and maintain professionalism.
- Knowledge of local businesses, restaurants, and services in the area is an advantage.
- Possess keen eye for presentation of food set up.
- Flexibility to work varying shifts, including evenings, weekends, and holidays as needed.
- Must be able to stand for long durations (expected to roam/no front desk, touchdown space will be provided).
