Career Services (CS) provides comprehensive career services and programs to assist a student population in developing, evaluating, and effectively initiating and implementing career, education, and employment decisions and plans through collaborative internal partnerships with UCF administrators, faculty, and staff, as well as effective external partnerships with key employers.

The Opportunity:

The UCF Lockheed Martin College Work Experience Program (CWEP) is a program housed in UCF Career Services. The Administrative Coordinator I position supports the administration of CWEP at Lockheed Martin. For over 40 years UCF and Lockheed Martin have partnered to offer this program that allows undergraduate and graduate students to gain real-world work skills and abilities relevant to their academic and career goals. CWEP is a unique, year-round paid opportunity to have hands-on learning experiences.

The primary work location for this position is the Sand Lake Road Lockheed Martin facility.

This position/classification may be moved at management's discretion within the SSWB division to a commensurate level position as determined by the Vice President of Student Development and Enrollment Services or their designee.

Responsibilities:


  • Provides program support and assistance for the Lockheed Martin (LM) College Work Experience Program (CWEP) by coordinating administrative processes and services on the Lockheed Martin side of the program to include receiving hiring requisition requests from Lockheed Martin's Service Central system, and initiating security clearances, background checks, and drug tests. Ensures the accurate on boarding of all new CWEP students in LM Systems.

  • Communicates LM managers requests to the CWEP Team regarding offers to students selected for participation in Lockheed Martin College Work Experience Program. Provides Lockheed Martin managers with the students' responses and acceptance emails to ensure the timely hiring of students.

  • Provides information and assistance to Lockheed Martin managers and other stakeholders regarding various changes to the CWEP process, including but not limited to SecurID tokens and on boarding/off boarding procedures. Assists Lockheed Martin managers with account issues, time approval, contract clarification, policy wavers, student performance, student transfer requests, and other issues.

  • Coordinates student access to the Lockheed Martin time and effort system, Fieldglass. Assists students with time charging, contract policy clarification, internal transfers, badge reactivation requests, and other issues.

  • Coordinates the creation and verification of new contractor accounts and Lockheed Martin computer requests for new CWEP participants. Review LM Non-Employee Access Tracking Request (NEAT), and Request Management System (RMS) for accuracy. Submits badge request forms for new hires to Lockheed Martin security. Creates and submits Security Clearance requests to UCF Security officer for students that need a clearance for their role.

  • Creates and maintains a folder for the CWEP participant which includes resume, application, drug screening, consent forms, offer email, NEAT information, RMS information, Contract labor profile, rate, orientation documents, new hire check list, NEAT verification form and other pertinent information. Updates and maintains active CWEP student list. Updates and maintains student files within the Lockheed Martin SharePoint. Ensures consistency with records kept within the UCF system.

  • Serves as a contact for Lockheed Martin HR staff. Serves as backup for hours verification for CWEPs in Lockheed Martin's Fieldglass system. Coordinates exit surveys with students and managers. Sends weekly termination reports to UCF and Lockheed Martin.

  • Addresses inquiries regarding the CWEP program via email, telephone, or in person. Distributes mass emails to program participants. Performs other duties as assigned.


Minimum Qualifications:

Bachelor's or Master's degree and 0+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6). Click here for more information

Preferred Qualifications:


  • Proven customer service skills, particularly in a fast-paced environment with different groups (students, staff, faculty, and employers).

  • Proven communication skills with a focus on phone calls and email.

  • Experience working with client management systems, applicant tracking systems or other large databases.

  • Outstanding organization skills, attention to detail, ability to prioritize, plan and meet deadlines.

  • Experience working independently and working with self-directed teams.

  • Proven aptitude for developing and maintaining relationships, strong team member skills.
