Hiring Range
The University of California, Merced is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The salary or hourly range the University reasonably expects to pay for this position is $70,200 - $86,100.

About the Job
Reporting to the department chair for daily and long-term work direction and the Medical Education Manager for process oversight, professional development, and administrative support. The Operations Lead is responsible for department planning and program support, Intro to Medical Learning (IML) curriculum administrative support, financial management, facilities and space coordination, logistical support for faculty recruitment, department marketing efforts, and program administration. KEY RESPONSIBILITIES Administrative Operations: Manages, plans, and administers a wide range of operations to support DOME Operations including:
- Interfaces with Dean's office and central offices such as Academic Personnel, Procurement, Space, Web management, Facilities, IT, Registrar, and Human Resources. Oversees the editing and updating of DOME and Prehealth Advising information in various channels, including web presence. Manages daily administrative operations, functions as gatekeeper, and participates in the development of effective systems for managing the flow of work and information within the department. This includes time-sensitive issues and deadlines, including student concerns, petitions, articulation requests, APO and personnel matters, and various operational processes and compliance requirements.
- Coordinates and participates in a variety of human resources activities, including employment, training, classification, and ensuring the completion of forms and documents related to HR and Payroll for DOME. Gathers, analyzes, prepares, and summarizes financial and HR reports. Serves as a key advisor to DOME leadership on administrative and operations activities associated with the department. Provides guidance and expertise to DOME leadership in developing techniques and processes. Proactively identifies areas for process improvement, suggests innovative ideas, and participates in implementing changes, contributing to the department's efficiency and growth.
Medical Education Personnel Support:
- Creates personnel processes, including recruitment, onboarding, training, and performance management. Oversees all faculty recruitments; leads, monitors, and supports onboarding activities. Liaises with the Academic Personnel office to facilitate academic personnel needs (i.e. appointments, promotions, etc.). Coordinates with UCSF Fresno and/or external clinical practices to create and manage contracts to secure clinical educators. Makes decisions on operational matters and ensures achievement of operational objectives.
Supervision of staff:
- Selects, develops, and evaluates personnel to ensure the effective and efficient operation of departmental functions. Manages daily activities of operations staff, sets priorities and deadlines for completion of tasks, and, with guidance from the Medical Education Manager, develops, implements, and manages processes for the department. Supervises operations staff and provides direction on communication, marketing activities, reporting, logistics for department events, and department budget.
Other areas and special projects:
- Development and public information: Manages gift administration, outreach efforts (e.g., seminars, web pages, public relations, student recruitment, department fundraising), and development campaign (in collaboration with campus development efforts). Service: As time permits, serves on divisional, programmatic, and campus-wide committees and task forces. Supervision of temporary staff: When needed, supervises temporary staff, which could include student workers and temporary employees. Identifies staffing needs, writes job descriptions, manage recruitments, and manages performance.
Qualifications
EDUCATION and EXPERIENCE
- Bachelor's degree in a related area and / or equivalent experience / training. (Required)
- Advanced degree equivalent to an MBA or related master's degree from an accredited university. (Preferred)
- Three years of directly related progressively responsible experience in an administrative support unit with experience leading or supervising the work of others, or an equivalent combination of education, training, and experience. A master's degree is preferred but may not substitute for the required years of experience. (Required)
CRITICAL KNOWLEDGE AND SKILLS
- Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management. (Preferred)
- Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.
- Knowledge of a variety of administrative operational activities such as event planning, fundraising tracking, website design, accounting and budgeting, and contracts and grants processes.
- Broad knowledge of common organization-specific and other computer application programs.
- Ability to use discretion and maintain confidentiality.
- Strong skills in short-term planning, analysis, problem-solving, and customer service.
- Demonstrated experience in financial and accounting systems, including modeling, forecasting, and planning. Experience locating, identifying, analyzing and synthesizing large quantities of data, identifying needs and developing recommendations. (Preferred)
