UDR, Inc. is now hiring an Administrative Assistant - Legal to join our team at our corporate office. GENERAL SUMMARY OF DUTIES: Collaborates and provides multi-faceted, professional administrative support to the Company's Legal team. Responsible for supporting the operations of the Legal team and performing a wide range of clerical tasks, some of which require strict confidentiality. SUPERVISION RECEIVED: Reports directly to the Director-Corporate Compliance with additional direction from the SVP-Chief Legal Officer and Vice President-Legal Operations and Corporate Counsel. SUPERVISION EXERCISED: N/A ESSENTIAL FUNCTIONS: Performs administrative duties including but not limited to the following: 1. Prepare and assist the Legal team with confidential correspondence, memoranda, reports, and other legal documents, including scanning, copying, and printing as needed. 2. Read and analyze incoming mail, memos, submissions, and reports to determine their significance and plan their distribution. 3. Assist with maintenance of the Company's records retention program which includes working with Company personnel to appropriately store new records with off-site storage vendor; searching and retrieval of documents as requested; destruction of records; and processing of monthly invoices. 4. Assist with preparation of Board meetings, including preparing travel schedules, Board materials, and preparing and submitting travel expense reports. 5. Assist in management of legal vendor electronic billing system. 6. Assist with preparation and filing of documents for the formation, qualification, and dissolution of corporate entities. 7. Assist with tracking and paying invoices of information and data related to business licensing and other licensing at Company properties. 8. Assist with schedules and balance reports from NetJets. 9. Assist with backup duties for the Executive Assistant to the CEO, as needed. 10. Prepare documents for mailing. 11. Arrange travel plans and itineraries, compile documents for travel-related meetings, and submit travel or other expense reports for the Legal team. 12. Arranging meetings or programs for the Legal team which may include arranging for facilities and catering and issuing information or invitations, as needed. 13. Manage calendars and schedule appointments. 14. Work independently and within a team on special non-recurring and ongoing projects. 15. Oversee special projects as assigned. 16. Screen telephone calls for the Legal team as needed or necessary. 17. Perform other duties as assigned or as necessary. PERFORMANCE REQUIREMENTS:
TYPICAL PHYSICAL DEMANDS: Occasionally lifting items weighing up to 30 lbs. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment. Requires normal range of hearing and eyesight to record, prepare, and communicate appropriate reports. Extensive data input and required ability to sit for long periods of time. Regular and consistent attendance on the job is an essential function. TYPICAL WORKING CONDITIONS: Normal office environment and hours, with some flexibility on working hours. EDUCATION AND EXPERIENCE: 1. High School Diploma, or equivalent, is required. 2. Bachelor's or Associate's degree in business administration or equivalent is preferred. 3. Minimum of five years' related experience in an administrative/secretarial position required. 4. Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Zoom required. 5. Must have and maintain a valid driver's license unless otherwise noted. Benefits Offered:
