We are seeking an Administrative Assistant to join our team in our Coraopolis, PA location.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

The desire and passion to learn new concepts, processes, systems, changes in regulation, etc. and continue to learn as the general operating environment continues to change and evolve.

Some knowledge of the principles and practices of administration with special reference to ICF/ID and Title XIX Waiver procedures, practices and objectives.

Knowledge of the policies and procedures of the Administrative function.

Ability to organize and present clear and concise oral and written reports.

Ability to establish and maintain effective working relationships with Senior Merakey staff along with various department officials and staff associates.

Computer skills necessary -- experience with Microsoft Office, including Excel, Word and PowerPoint software preferable plus willingness to learn company specific software.

Ability to work additional hours beyond standard work week if necessary to meet ODP or Corporate deadlines.

DEFINITION:

This Executive Assistant will perform duties as assigned by the Western Region Director and the Director of Finance. This is professional work in the field of administration. Work is often confidential in nature and maintaining confidentiality is extremely important. Work assignments are fluid and subject to change based on the needs of the Company. The employee is expected to carry out work assignments within established procedures and precedents. Work requires professional judgment and autonomy. Regular assignments are completed without reference to their supervisors. Work is reviewed by the Western Region Director and the Director of Finance for completeness, clarity and accuracy.

EXAMPLES OF WORK PERFORMED:

Responsible for clerical services and correspondence prepared for the Western Region Regional Executive Director, Director of Finance, Director of Nursing and Director of Admissions signature for grammar, format and completeness.

Performs clerical work such as typing, Microsoft Word, Microsoft Excel, filing, maintaining attendance records and compiling payroll data for Administrative staff.

Screens telephone calls for Western Region Regional Executive Director and the Director of Finance.

Responsible for compiling information for Merakey AVS Board Report (every three months)

Takes meeting notes per Western Regional Executive Director request, notes for Recruitment Meetings and Western Region Senior Management Meetings.

Collects and organizes data required by the Western Region Regional Executive Director or Director of Finance for meetings and appointments.

Arranges and schedules appointments, travel, and hotel reservations for Merakey AVS staff.

Supervises the Receptionist.

Helps with Relief on switchboard for Receptionist and arranges coverage for switchboard for Receptionist lunch and off duty.

Operates general office equipment, including responsibility for corporate copy machines and fax machines.

Merakey AVS licensure responsibilities (ICF, Waiver, ATF and Family Living). Adult Training Facilities, Community Home Services (Waiver) and Family Living/Life Sharing Renewal Application for License and Civil Rights Compliance is done through HCSIS.

Protocol Integration. Work closely with the Administrators to integrate Protocols and get protocols sent out to appropriate staff and add to Intranet.

Responsible for helping with updating cell phones for Merakey AVS that are added or discontinued.

Completes ADP for Merakey AVS Administrative staff.

Serves as the building manager for 1996 Ewings Mill Road Office.

Responsible for Merakey AVS telephone system at 1996 Ewings Mill Road Office.

Responsible for upkeep of postage machine.

Responsible for assigning reserved parking spaces to new staff at 1996 Ewings Mill Road Office.

Responsible for keeping and updating Merakey AVS Organizational Charts.

Responsible for card security and key cards.

Responsible for adding and deleting staff for printing and scanning on copy machines.

Manages usage and maintains receipts for 1996 Ewings Mill Office vehicles.

Responsible for getting information i.e. maintenance of any repairs or problems that arise at 1996 Ewings Mill Office.

Oversees HHS housekeeper duties and addresses any complaints from staff regarding housekeeping.

Responsible for catering for meetings at 1996 Ewings Mill Office.

Responsible for sending out Merakey Communications to Merakey AVS staff.

Responsible for ordering flower arrangements for deceased Merakey AVS staff, clients and client's family members.

Primary card holder and responsible for Sam's Club Account.
