Overview

TRC is seeking an Operations Associate Manager to support the delivery of a large commercial energy efficiency program in Oregon and SW Washington. Through the program, we deliver technical assistance and cash incentives to customers in commercial facilities and buildings to help make electric and natural gas energy efficiency upgrades possible.

This person will support the Operations Manager in helping lead the incentive payment process for energy efficiency projects, directing project coordinators in their work and providing solutions for challenging projects. In this role you'll work closely with key cross-functional team members to communicate program information, including eligibility, and handle challenging customer situations. You'll manage and complete multiple project payments weekly including providing quality control reviews of other team member's incentive payments.

The ideal candidate will be assertive and personable, with experience managing, training and directing team members and project workflow. Strong attention to detail in a fast-paced work environment with frequently changing priorities, and the ability to manage multiple tasks and projects simultaneously is critical. Experience working in incentives with an energy efficiency program is required.

The position will be based in Portland, Oregon. Employees are required to work on-site one day per month, though more may be required for training purposes or in-person meetings.

Responsibilities

Responsibilities include but are not limited to:

* Manage, train and direct the work of project coordinators with oversight from the Operations Manager.
* Resolve challenging project and customer service issues, collaborating with cross functional team members as necessary to determine the solution.
* Understand energy efficient equipment requirements and communicate these to customers as needed.
* Determine if projects and applications meet the necessary requirements to qualify for cash incentives.
* Perform project processing using client's proprietary software system.
* Conduct quality control reviews/revisions on assigned team members' projects.
* Prepare project documentation and monitor quality control reports to meet strict weekly project incentive payment deadlines.
* Work closely with subcontractors and internal team members as needed to coordinate and track the details for multiple on-going projects in various stages.
* Communicate project needs for missing information and anticipated and actual project completion concerns to stakeholders.
* Update and maintain accurate data via CRM systems, to include but not limited to: Customer contact information, project details and notes, remaining project tasks, etc.
* Answer customer and contractor calls and emails, providing program information, eligibility requirements and status on project payments.
* Provide outstanding customer service, utilizing excellent communication skills and positive attitude to work with detailed requests from customers, client staff, and internal team members.
* Develop and maintain process documentation for new and changing offerings and program updates.


Qualifications

Requirements:

* 4+ years administrative support and/or project management working in energy efficiency field.
* 1+ years experience processing incentive rebates.
* Experience managing staff and directing team members in processing tasks, ensuring project work meets quality standards and meets deadlines.
* Intermediate proficiency in MS Office tools (Outlook, Excel, Word, SharePoint, Teams)
* Ability to understand, interpret, and apply technical information.
* Able to communicate in written and verbal English clearly and effectively.
* Demonstrated ability to manage multiple tasks to meet short turnaround times while adhering to strict quality control standards.
* Experience using a CRM or similar system to track customer and/or project details.
* Associates degree in Business Administration or related field.

Preferred:

* Experience coordinating, forecasting, and processing Energy Trust commercial, residential, and/or custom energy efficiency projects.
* Basic knowledge of HVAC systems, weatherization products and lighting.
* Basic knowledge of commercial and multifamily building owners and property management relationship.
* Bachelor's degree in Business Management, Business Administration, or related field.
* Bilingual in English and Spanish.

Compensation: In accordance with local law, the below salary range is applicable for the job and location associated with this requisition. Compensation will vary based upon experience, education, skill level, geographical location, and other compensable factors.

Other Compensation: Employee may be eligible for participation in the Company's annual Discretionary Bonus Program which is contingent on Company, Business Segment, and Individual performance against Key Performance Indicators which vary by year and employee.
