Development Coordinator, Leadership Giving

The Development Coordinator plays an integral support role on the Leadership Giving team within the Mass General Development Office. With appropriate guidance, the Coordinator supports the work of the Senior Director of Leadership Giving and broader team by managing calendars, handling preparations for meetings and events, processing business expenses and making travel arrangements when needed. The coordinator also tracks fundraising actions and activities in a donor database and prepares and distributes team reports.
As a Coordinator, you will work alongside fellow management support professionals, or "MSPs," who hold similar support roles in the department. Development MSPs are talented, dynamic and valued colleagues who serve as partners and collaborators in teams across the department. As a Mass General Development MSP, you will have access to a variety of networking, professional development and leadership opportunities.

General MSP Responsibilities
*Manage the calendars of assigned gift officers, keeping them free of scheduling conflicts
*Coordinate logistics, prepare agendas and other materials, take notes and organize follow up actions for meetings, events, appointments and presentations, troubleshooting any issues as needed
*Attend donor, physician and hospital administrators' phone and email inquiries relating to gift-related issues
*Submit employee expenses and vendor invoices
*Conduct basic prospect identification and research activities as needed, working with Prospect Management and Research colleagues to collect relevant information about donors
*Record donor activity, data and action items in a database
*Complete booking forms for gifts and pledges in a timely manner with thorough backup information
*As needed, assist with daily administrative activities
*Make travel arrangements, prepare travel itineraries and troubleshoot and resolve potential conflicts
*Participate in professional development including taking advantage of shadowing opportunities when appropriate
*Prepare and regularly update progress reports
*Contribute to maintaining positive office morale, even in the face of high work volume and challenging periods
*Assist with recruitment activities as needed
*Take on other office-wide duties at the request of Development leadership
*Adhere to the mission, credo and standards of behavior of Mass General
Team-Specific Responsibilities
*Support the Senior Director of Leadership Giving in a cross-functional manner, providing support and interfacing with colleagues both on and off the Leadership Giving team
*Maintain a schedule of team reporting needs; pull reports and data from donor database in a timely manner
*Participate in the MGH Fund phone line coverage and closely monitor the MGH Fund email account to ensure appropriate coverage and timely responses
*Review the daily gift report, alert assigned gift officers to any relevant gifts or pledges and take appropriate action

Qualifications

1-2 years of experience in a customer service or relationship-building role is required. A bachelor's degree is preferred but not required.

In addition, the ideal candidate will possess the following skills, abilities and attitudes:

  • Strong verbal and written communication skills

  • Organizational, time management and project management skills
  • Command of Word, PowerPoint, Excel and Outlook, or the ability to learn them quickly
  • Competency using videoconferencing platforms (Zoom and Teams preferred)
  • Proficiency with data entry or data management in a database (Blackbaud CRM or Raiser's Edge preferred)
  • Attention to detail
  • Professionalism and a strong work ethic
  • Desire and motivation to learn about the organization and fundraising
  • Awareness of personal work styles in self and others
  • Adaptability and flexibility in times of shifting priorities
  • Ability to work collaboratively with diverse audiences
