Our Finance Division is seeking a Senior Accounts Payable (AP) Representative to join our team. This role supports the AP Senior Manager in ensuring the department's daily operations run smoothly and efficiently, while maintaining strong internal controls. The Senior Representative will provide guidance and mentorship to AP staff, assist in overseeing day-to-day activities, and serve as a backup when needed. They will also take a lead role in training AP team members, especially during the implementation of new University initiatives, to ensure staff are well-informed and prepared. Additionally, this position will be responsible for researching and resolving AP-related issues in collaboration with both campus departments and external University partners. Other general accounting duties may be assigned as needed.

Core Responsibilities:

  • Perform and master core functions of AP as needed and as assigned for domestic and international campuses-
    • Payment processing for all ledgers
      • Accurately and timely process all payment functions
    • Multiple system supplier maintenance, which includes:
      • Accurately enter and review supplier information in Oracle
      • Management of Supplier queues in Perceptive Content
      • Assist AP management with the PaymentWorks Process
    • Invoice and credit memo processing in multiple Systems, which includes:
      • Triage invoices in Perceptive Content and Brainware to ensure invoices are accurately processed to reflect content of the invoice.
      • Accurately enter and review Payment Form invoices in Oracle
      • Enter, review, and manage manual payments.
  • Ensure all documented AP processes and procedures are followed. If a process is not documented, create the appropriate documentation.
  • Researches and resolves payable issues with campus and external representatives of the University, including maintaining the Oracle Holds report for the associated range of suppliers;
  • Identifies recurring invoice, payment and supplier issues and presents to AP senior manager.
  • Perform daily tasks, which include but are not limited to, bank returns, vendor statement review, and vendor and campus refund checks.
  • Additional responsibilities include answering telephones and responding to customer service requests and backing up others in the department when needed.
  • Any other responsibilities as deemed necessary by the AP senior manager.
  • Must be available to complete all assigned tasks outside of normal working hours, as requested. During month-end and fiscal year-end closes, must make senior manager aware if you will not be available outside of working hours.
  • Overtime may be required during peak processing times, e.g., monthly AP closing, fiscal year end closing, etc.

Qualifications:

  • High School Diploma or GED required.
  • 5-8 years of demonstrated accounts payable experience.
  • A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.

Additional Information:

  • Work Posture: This position is operating on a hybrid schedule, with an on-campus/in office presence 2 days a week.
  • Typical Work Schedule: Monday-Friday from 8:30-5:00pm. An alternate work schedule allowing for evening and weekend hours will be required on occasion.
  • Sponsorship: Applicants for this position must be currently legally authorized to work for CMU in the United States. CMU will not sponsor or take over sponsorship of an employment visa for this opportunity. Carnegie Mellon is not a qualifying employer for the STEM OPT benefit: only the 12-month OPT may be used to work at Carnegie Mellon.
