POSITION SPECIFICS

The Department of Accounting in the Smeal College of Business at The Pennsylvania State University (University Park) invites applications for an Academic Program Coordinator (Supervisor). The Academic Program Coordinator collaborates with faculty, staff, and students to ensure the effective development and delivery of courses managed by the department as well as effective management of department budgets and activities.

The Accounting Department manages approximately 900 undergraduate, Integrated Masters of Accounting (MAcc), and other graduate students. The Department comprises 30 full-time faculty members, 13 doctoral students, several part-time faculty members, and two full-time staff members.

Representative Duties

  • Collaborate with faculty and department leadership to forecast course enrollment; retrieve, compile, and analyze course data; assess classroom space and instructor requirements; plan, schedule, and finalize sections, classrooms, and exams; respond to course availability and enrollment inquiries
  • Monitor program budget including tracking purchases, approving expenditures, and generating financial reports
  • Create and maintain databases; compile academic data and prepare reports for department leadership related to enrollment data, student progress and experience, and accreditation information
  • Communicate with faculty, staff, advisers, parents, and students; respond to inquiries related to individual courses, degree requirements, or the overall academic program
  • Facilitate the process for reviewing requests and updating student course/program changes; process grade change forms, add, drop, and registration forms
  • Coordinate and implement policies, procedures, and activities pertaining to student records across a department or assigned academic program
  • Coordinate scholarship, assistantship, and fellowship data and funds; prepare award letters, notify donors, monitor expenses, prepare and analyze financial reports; assign and monitor teaching assistant class assignments
  • Communicate with students to promote program specific opportunities including workshops, organizations, internships, and career development opportunities; collaborate with faculty and program staff to develop marketing materials
  • Coordinate faculty affairs processes including promotion and tenure, sabbatical leave, and non-tenure track promotions; prepare, track, and submit review documents; consult faculty on processes and procedures in order to facilitate timely submissions and ensure compliance with academic policies
  • Plan and coordinate events including orientations, summer days, prospective student visits, open houses and other program events; arrange volunteer schedules for events
  • Assist with the department websites; review content and ensure that information is accurate

The successful candidate will possess the ability to supervise and review other staff members as well as work independently; engage in effective written and verbal communications; perform baseline planning, organizing, and directing; problem-solve and propose solutions; and maintain a high level of confidentiality in managing student and employee records. Candidates with experience in using SIMBA, Concur, LionPath, CollegeNet, and WorkLion/Workday are preferred. In-person hours in the departmental office are required.

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

Associate Degree 4+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $46,400.00 - $67,300.00.
