POSITION SUMMARY: The Office Manager will provide direct administrative support to the LNA CEO and VP of Commercial & Business Development. Support the HR function in a variety of areas including facilities, community involvement, and employee engagement. Supervise and lead facilities specialist, receptionist and coordination of reception desk. RESPONSIBILITIES & EXPECTATIONS: Executive Support
- Provide high-level executive administrative support to the CEO of North America and the VP of Commercial & Business Development. In addition, provide administrative support as needed to the Senior Management team.
- Manage appointments and travel preparations to ensure effective and accurate coordination with management both personally and online.
- Provide calendar management as needed.
- Facilitate arrangements for internal and external visitors to ensure meetings are effective.
- Undertake special tasks and projects as required for the CEO & VP of Commercial & Business Development.
Facilities Management
- Responsible for the management of facilities and related services and processes. Ensure that the organization has the most suitable working environment for its associates and their activities. Involved in both the strategic planning and day-to-day operations, particularly in relation to the building.
- Supervisor to the facilities specialist and receptionist including hiring, training, and performance management processes. Dotted-line reporting relationship to department administrative assistants.
- Liaison between the company and building property management to ensure proper building, cleaning, health and safety, security and utilities and communications infrastructure.
- Directing, coordinating, and planning essential central services such as reception, security, mail, catering and space management (including supervising and coordinating moves, seating, relationship with contractors, etc.).
- Responding appropriately to emergencies or urgent issues as they arise and troubleshooting to resolve.
- Responsible for company office supply purchasing, meeting catering events, and equipment.
- Plans and/or supports various events and initiatives that continue to support the culture and Community Involvement Committee (i.e. holiday events, employee appreciation, employee forums, employee newsletter, community outreach, etc.)

- Ability to prioritize and manage multiple tasks/projects and meeting all required deadlines.
- Strong sense of urgency in meeting internal customer needs.
- Must have strong working knowledge of Microsoft Excel, Word and PowerPoint software.
PHYSICAL DEMANDS INCLUDE, BUT ARE NOT LIMITED TO:
- The employee will be required to perform the following actions (from time to time): Standing, walking, balancing, stooping, kneeling, reaching, talking, seeing, hearing, typing, and sitting.
- Ability to consistently lift over 15 pounds as needed.
- Ability to travel up to 5-10%.
REQUIRED EDUCATION:
- Bachelor's degree or equivalent experience
PREFFERED EDUCATION:
- BS degree in Management, English, Business or HR or administrative related field
REQUIRED EXPERIENCE:
- Must have 6-8 years of progressive executive office management support responsibilities in an office. Proven ability of supporting multiple executive leaders is required. Strong sense of confidentiality and handling sensitive information.
PREFFERED EXPERIENCE:
- 8 plus years of progressive proven executive support and leadership experience. Strong skills creating, reviewing, and/or analyzing information and communications in MS PowerPoint and Excel
