SPARE PARTS ADIMINISTRATOR II POSITION SUMMARY The Spare Parts Administrator supports the efficient management and coordination of spare parts inventory, procurement, kitting, and distribution. This position is responsible for maintaining accurate inventory records, processing purchase orders, liaising with suppliers, and collaborating with the warehouse, manufacturing, and engineering teams to ensure the timely availability of necessary parts for maintenance and operations. PRIMARY RESPONSIBILITIES
- Coordinates planned and unplanned work order material requests, including reviewing maintenance records and procuring necessary parts.
- Manages the spare parts inventory system with a focus on accuracy, efficiency, and timely distribution.
- Performs regular inventory counts to ensure accurate stock levels and addresses any discrepancies in inventory records.
- Collaborates with equipment owners to build out new equipment parts records and determine optimal stock levels for lifecycle upkeep.
- Researches and creates vendors/manufacturers for new parts and part updates, manages purchase requests, and maintains accurate lead times within the AMS application.
- Prepares necessary parts kits for planned maintenance tasks, ensuring all required components are included and ready for use.
- Adheres to all applicable regulations and requirements including compliance with internal SOPs, GMP, Health and Safety, WISHA/OSHA, regulatory compliance, company policies, and employment-related laws and statutes.
- Successfully completes all mandatory Quality, Compliance, and job training within required timeframes.

KNOWLEDGE, SKILLS, ABILITIES Required:
- Strong knowledge of Asset Management Systems (AMS) such as Maximo.
- Ability to work effectively to meet tight deadlines when the situation warrants.
- Detail-oriented with the ability to handle multiple activities simultaneously.
- Strong critical thinking, analytical, and problem-solving skills with the proven ability to formulate solutions to propel the organization forward.
- Excellent soft skills including a bias towards action, the ability and willingness to give and receive constructive feedback, is comfortable working within a diverse team and across multiple functions, exhibits a consistently constructive attitude, and is adaptable and at ease with handling unexpected changes and challenges.
- Solid English language communication skills, both oral and written, are required for this highly collaborative role. Willingness and ability to clearly express opinions and ask questions. Comfortable actively participating in cross-functional meetings.
- Basic software skills, including proficiency in Microsoft Word and Outlook; willingness to learn and adapt to other job-specific applications.
Preferred:
- Proficient user of Maximo or similar Asset Management Systems (AMS).
- Knowledge of FDA and GxP regulatory requirements.
- Software application experience with Smartsheet, MS Project, and SharePoint.
EXPERIENCE & EDUCATION Required:
- High School diploma or GED.
- 2+ years of progressively responsible, relevant work experience.
- 1+ years of inventory management experience.
Preferred:
- 2+ years of experience with Asset Management Systems (AMS).
- Experience working in a cGMP Manufacturing Facility/environment or other highly regulated environment.
