Overview

We are looking for a friendly, reliable and hard-working Medical Records/ Call Center Representative Supervisor to join our team. You will utilize our electronic medical records for messaging and attaching scanned documents to patient charts. Will log FMLA/Disability forms for provider completion. Will complete releases of medical records information to persons or agencies according to State and Federal regulations. Will mail or fax forms and contact patient once completed, answering all incoming medical records calls, you will be responsible for, taking messages and routing messages to appropriate staff members, may need to help schedule/ reschedule simple appointments and all new patients

Candidates should have an outgoing and friendly demeanor, a positive work ethic, and have a track record of working well with others in a team environment. We prefer applicants who have some customer service experience, but we are willing to train the right person. You must always exemplify the values of our company and provide patients with the highest levels of care.

Full Time / 40 hours per week (M-F, 7:30-4)

SCOPE

Responsible for overseeing daily operations of medical records department. Assures all functions are carried out in a productive manner. Assists with maintaining completeness, accuracy and confidentiality of medical records by ensuring compliance with the departments policies and procedures. Supports and adheres to the US Oncology Compliance Program, to include the Code of Ethics and Business Standards.


Responsibilities

  • Supervises and trains/orients assigned personnel. Assigns work, arranges for coverage, and oversees daily operations.
  • Identify patient questions, complaints, concerns, and overall needs
  • Provide sufficient answers and solutions to all patient queries
  • Direct patients to appropriate departments and teams when appropriate
  • Follow all communication procedures, policies, and guidelines during every patient interaction
  • Scan and attach all internal and external correspondence and electronic medical reports into patient medical record
  • Ensure that all appropriate documentation for the scheduled patient visit is attached to the patient's chart.
  • Prints, mails, and/or faxes patient chart information as requested and authorized.
  • Documents all processes.
  • Releases medical records information to persons or agencies according to State and Federal regulations.
  • Compile and maintain patients' medical records to document condition and treatment.
  • Logs FMLA/Disability forms for provider completion.
  • Will mail or fax forms and contact patient once completed. Sends outgoing faxes and distributes incoming faxes.
  • Supervises the daily activities of employees of the medical records department.

Qualifications

  • High school diploma or equivalent required.
  • Previous experience in management and supervision of a medical records department preferred.
  • Prefer Customer Service experience, preferably in a medical office setting.
  • Knowledge of electronic health record systems helpful.
  • Time Management, Organization, Attention to Detail and Quality Focus skills needed.
  • Ability to multitask.
  • Outgoing and friendly personality.

WORK ENVIRONMENT:

The work environment may include exposure to communicable diseases, toxic substances, ionizing radiation, medical preparations and other conditions common to an oncology/hematology clinic environment. Work will involve in-person interaction with co-workers and management and/or clients. Work may require minimal travel by automobile to office sites.
