Scope of Position

The Administrative Assistant provides supportive services for all Advance Practice Practitioners (APP) for The James Cancer Hospital. Processes confidential documents from Human Resources, Employee Health and other confidential credentialing materials to/from hospital areas. Coordinate onboarding schedules for nurse practitioners and assists in the credentialing process. Responsible for coordination and oversight of the James APP Nursing Staff including collaborative participation with the Centralized Credentialing Dept on the medical staff credentialing and re-credentialing processes. Responds to verification requests and maintains the confidentiality of all business/work and medical staff information. Functions as a member of the team to assure optimum performance of the department. Maintains personnel credentialing and quality files for Director of APP. The Administrative Assistant has no supervisory responsibility and maintains absolute confidentiality related to employee, business transactions, and patient information that may be viewed while carrying out various functions of the position.

Position Summary

The Administrative Assistant works under the general supervision of the Administrative Associate Manager and provides support for the Director of Advance Practice and Advance Practice Managers. Processes and completes confidential correspondence and other materials as requested by APP Director. Responsible for the coordination of all credentialing, tracking licensure, and certifications for advance practice providers. Reviews all credentialing paperwork for completeness, submits and track through the credentialing process. The coordinator may also process HR business transactions within Workday to ensure appropriate transactions are submitted in a timely manner. Strong leadership and teambuilding with effective communication and problem-solving skills are necessary to facilitate the timely completion of any business transactions. This position contributes to the day-to-day operations of the Advance Practice departments and adheres to the James policies and procedures, including the organization's compliance.

Minimum Qualifications

For Hire:Per Classified Civil Service requirements. High School graduate or GED required. Certification, vocational training, or Associates degree in relevant field may be preferred. 2 years of relevant experience required with Associate degree. 4 or more years of relevant experience preferred. Extensive computer skills preferred. Previous experience in relevant setting is highly desirable.
