POSITION SCOPE AND ORGANIZATIONAL IMPACT

Moss' Administrative Assistant will enhance the Senior Director, Marketing's effectiveness by providing information management support, representing the Senior Director to others, and supporting the preparation of meetings, presentations, and overall organization. In addition, this position supports the Strategy, Marketing, and Communications (SMC) Team in administrative and office management support, including invoice processing.

The SMC Team at Moss is a shared services group that supports all business units and enterprise functions. SMC aligns strategic priorities with brand, communications, and pursuit efforts to help the company grow and lead. The team includes experts in business strategy, pursuit management, creative services, event logistics, communications, and marketing data. Together, they enable Moss to tell its story, connect with clients, win work, and build internal alignment. SMC works at the intersection of planning and execution, helping both leadership and field teams focus on what matters most. It's a fun, highly visible team here at Moss.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

  • Support the Senior Director, Marketing

  • Maintains and manages the Senior Director's calendar schedule by planning and scheduling appointments, meetings, conferences, teleconferences, events, and travel

  • Manages the SMC team's invoice processing

  • Serve as the marketing department's office manager, managing department mail, maintaining supplies, and coordinating physical maintenance

  • Coordinate marketing department meetings and provide support to other corporate events as needed

  • Print production, including but not limited to maintaining the department's inventory of brochures and marketing collateral; printing, binding, and coordinating the delivery of pursuit-deliverables

  • Assist with presentations and other documents such as corporate organizational charts and resumes

  • Manage SMC's internal catering needs

  • Maintain phone tree for emergencies

  • Maintain marketing personnel calendar (e.g., team events/vacations) and conference room calendar

  • General marketing department support (e.g., supplies orders and pick up, online promo management, editing and proofing)

  • Provide receptionist relief and additional support to other administrative/executive assistants as needed

  • Perform other duties as assigned

EDUCATION AND WORK EXPERIENCE

  • Bachelor's degree (B.A.) from a four-year college or university; or one-to-two years related experience and/or training; or equivalent combination of education and experience

  • Expert in Microsoft Word, Excel, PowerPoint, Outlook

  • Proficient in Adobe InDesign is a plus

  • Familiarity with SharePoint and other Microsoft 365 applications is a plus

  • Ability to collaborate and communicate well with all team members including field staff and upper management

  • Possess a strong work ethic and exercise a high level of maturity with a positive attitude

  • Must be detail-oriented with excellent organizational, writing and editing skills

  • Ability to multi-task under strict deadlines

  • Experience working in the A/E/C industry, preferred

  • Possess an entrepreneurial spirit and ability to think out of the box
