Responsibilities

    As a member of the Operations Support Team, the Operations Support Specialist will work under the general direction of the Operations Support Manager and in coordination with multiple parties to assists in the plan development, tracking and task execution of workforce related transition plans. The Operations Support Specialist will primarily be focused on supporting facility, equipment and technology needs within such projects
  • Provides assistance with planning and coordinating team(s) activities to manage and implement interrelated projects from initiation to final operational stage
  • Plans, schedules, monitors, and reports on activities related to the project, with a special focus on tasks related to facilities, equipment and information technology
  • Supports the project team(s) in determining customer requirements and translating requirements into operational plans
  • Identifies and coordinates additional resources to meet project needs and requirements
  • Assists with contingency plans to address schedule revisions, manpower adjustments, and work requirements
  • Meets live and/or via phone/video with management, sponsors, and project teams to review project scope/progress and resolve project issues
  • Assists in preparing management for transition from implementation to operating stage
  • Monitors and evaluates quality of performance and product from all work within scope of responsibility
  • Assists with accurately estimating and planning the work of teams or project groups within agreed policies
  • Produces work plans according to required standards
  • Works with colleagues to produce/recommend/develop long-term plans
  • Fosters an environment of continuous improvement
  • Vigilantly explores ways to increase efficiencies and productivity, reducing waste, and reducing costs
  • Coordinates, communicates and tracks progress on tasks assigned or supported by internal Information Technology, TSS Purchasing, Leasing, Operations and Service Delivery Team, among other internal parties that may be involved in individual projects
  • Monitors and reports on the progress of the resolution of high impact problems according to established standards
  • Handles those exceptions relating to schedules, working methods, resources, staff matters, or technical difficulties
  • Passes decisions clearly outside scope upward, including proposed solutions whenever appropriate
  • Advises on and justifies proposed configuration specifications, strategic plans, and tactical plans, affecting service delivery and on time delivery
  • Writes and speaks fluently on all aspects of work
  • Communicates effectively, and in accordance with protocols, with users/customers, colleagues two to three levels up/down and across a range of disciplines, and all levels of management
  • Assists with negotiations with and functions as a liaison between functional partners, users, and suppliers
  • All activities will be tracked on the project management system to ensure accountability and transparency


Qualifications

  • Bachelor's degree and 2 years' experience in providing Information Technology, equipment and facilities support/project management or an equivalent combination of education experience
  • Demonstrated organization and planning skills; demonstrated ability to plan, organize, and deliver multiple or complex projects
  • Excellent written and verbal communication skills
  • Demonstrated ability to resolve problems independently and escalate appropriately
  • Customer service focused with strong written, verbal and organization skills required
  • Knowledge of company internal parties and processes/steps for establishing a new contract is preferred. Also knowledge to support changes and new rollouts in existing operations is preferred
  • Excellent Microsoft Word, Excel and PowerPoint skills are required. Microsoft Project a plus
  • Must be willing to travel with limited notice - travel is not anticipated to exceed an annual average of 25%; however, it may vary significantly seasonally depending on need
  • Drivers' License is required with a driver rating of low risk and proof of current liability insurance
