POSITION SUMMARY
Receptionist/Administrative Assistant to be the first point of contact for our company. This role is responsible for managing front desk operations, welcoming visitors, handling incoming calls, and supporting the Human Resources department with administrative tasks.

Key Responsibilities
Receptionist Duties


  • Greet and check in visitors using the FacilityOS system; notify employees of guest arrivals.



  • Answer and route incoming calls using the Mitel multi-line phone system and web interface.



  • Manage ID badge distribution and collection.



  • Open, sort, and distribute incoming mail and packages; prepare outgoing shipments.



  • Track the usage of company vehicles and manage car key check-in/check-out.



  • Maintain supply inventory for the HR department and front desk area.



  • Monitor the front entrance and report any maintenance issues.



Administrative Duties


  • Assemble new hire and benefits packets to support onboarding and HR processes.



  • Prepare birthday and gift cards using a monthly report.



  • Draft and send internal company-wide email communications with clarity and professionalism.



  • Scan and electronically file HR documentation.



  • Assist with company-sponsored events and department projects as assigned.



  • Maintain regular and punctual attendance.



Qualifications


  • High school diploma or equivalent required.



  • At least 2 years of experience in a receptionist or administrative support role.



  • Proficient with Microsoft Office (Word, Outlook, Excel, PowerPoint).



  • Experience with multi-line phone systems and standard office equipment.



  • Exceptional verbal and written communication skills.



  • Strong organizational skills with the ability to handle frequent interruptions and reprioritize as needed.



  • Comfortable adapting to changing responsibilities and supporting evolving department needs.



  • Friendly, professional demeanor with strong customer service orientation.



  • Ability to maintain confidentiality and exercise sound judgment.
