The Sourcing Analyst will provide essential support to the SVP and VP positions within the team. This role plays a key part in the efficient and effective management of contracts, purchase orders, invoicing, supplier onboarding, and renewals. The Sourcing Analyst will be responsible for streamlining processes, managing documentation, and ensuring the timely execution of sourcing and procurement activities.

A SNAPSHOT OF YOUR RESPONSIBILITIES:

Contract Management & Administration:

  • Maintain and file contracts in the iManage system.

  • Set up automated reminders for contract negotiations, renewals, and upcoming milestones using DocMinder.

  • Ensure contracts and agreements are processed efficiently and in accordance with company policies. Facilitate the NDA process liaison between legal, sourcing and third parties.

RFP Management:

  • Assist in managing and drafting Requests for Proposals (RFPs) and ensure timely responses.

  • Coupa Management:

  • Coupa Training for end users - creating requisitions, attend quarterly Coupa software update meetings, summarize and distribute meeting minutes.

  • Oversee invoice management in Coupa and follow up with requesters for confirmation of goods/services receipt.

  • Close out invoices and support the team in supplier onboarding processes.

Purchasing Support:

  • Expedite purchases to meet deadlines and manage any procurement-related issues.

  • Handle Punchout catalog quote requests from vendors such as B&H, CDW, and Insight.

Staffing Agreement Oversight and Processing:

  • Process project-based agreements, specifically for Digital teams, ensuring proper legal and financial compliance and file maintenance. Coordinate with HR, as needed.

Telecom Requests & Service Order Forms (SOFs):

  • Assist with telecom-related requests and send SOFs to the Corporate team for signature.

  • Maintain and update relevant files.

Meeting & Event Support:

  • Attend key sourcing-related meetings with the team and suppliers.

  • Support the team during significant renewals such as AWS, Microsoft EA, BOX, Cisco, and Adobe, Datadog, Google, Stripe.

General Administrative Support:

  • Schedule meetings, Zoom calls, and coordinate team calendars.

  • Prepare expense reports and assist with other administrative tasks as needed.

WHAT YOU WILL NEED:

  • Strong organizational and multitasking skills.

  • Familiarity with contract management systems (BOX, iManage, DocMinder) and procurement tools (Coupa), preferred.

  • Experience with vendor management and supplier onboarding processes, preferred.

  • Strong communication skills for collaboration with multiple teams.

  • An ability to manage and track multiple projects simultaneously and in a timely manner.

  • Previous experience supporting senior leadership or teams in administrative roles preferred.

Pursuant to state and local pay disclosure requirements, the pay rate/range for this role, with final offer amount dependent on education, skills, experience, and location is $67,000.00-70,000.00 annually. This role is also eligible for various benefits, including medical/dental/vision, insurance, a 401(k) plan, paid time off, and other benefits in accordance with applicable plan documents. Benefits for Union represented employees will be in accordance with the applicable collective bargaining agreement.
