About the Job

Division of Physical Therapy Administrative Duties:

(30%) Division Operations - Ongoing and Day-to-Day:

  • Manage the student absence reporting process.
  • Classroom technology management - troubleshoot classroom technology and adapt the systems to various presenting modes. Liaison to AHC classroom support.
  • Create and update course Canvas pages for up to 12 courses per semester - Ensure consistency between pages and provide usable templates to faculty.
  • Process mailings and sending out of packages.
  • Collect and disseminate student weekly updates.
  • Provide instructions for guests to find the PT classroom and offices when coming to campus for events.
    • Effectively communicate with outside guests about visit logistics.
  • Schedule meetings as directed within the Division and for faculty working groups / committees.
  • Assist with accreditation activities and documents for annual reports or as needed.

(20%) Faculty Support:

  • Provide Canvas support to faculty. Including but not limited to; creating basic canvas pages, entering exams, assisting with grading, managing media in Canvas, and problem solving. Submit guest speaker check request forms for processing.
  • Student Rating of teaching (SRT) collection - Including research group SRTs.
    • Coordinate with each instructor a day/time to attend class and proctor each course SRT. o Provide results when available.
  • Manage Guest Speaker, Teaching Assistant, and Lab Assistant evaluations collected via qualtrics - Proactively set-up with faculty prior to the end of the semester.

(20%) PT Classroom / Space Upkeep:

  • Check and refill sanitizers, cleaning supplies & cleaning stations in the PT classroom. o Put away new supplies as they arrive.
  • General workstation cleaning and podium/lectern cleaning.
  • Weekly manage the linen service.
  • Manage the shared 2ndfloor copy room - order supplies, troubleshoot basic issues and coordinate repair service as needed.
  • Monitor and order office supplies via UMarket.
  • Check equipment as directed.

(20%) DPT Course Management:

  • Create drafts of semester course schedules and final exam schedules - Requires extreme attention to detail and creative problem solving.
  • Order textbooks from the bookstore each semester and obtain faculty desk copies when requested - advise instructors on new editions and work with instructors to find new text books.
  • Manage course recordings and post recordings to course Canvas pages as needed. - Ensures accessibility for all students.
  • Accurately enter exams into Canvas for various courses. Verify all settings are correct and ensure the exam is accessible for all students, including those with accommodations from the Disability Resource Center (DRC).
    • Manage the student testers in ChRC; Ensure there is space for the students with accommodations, and that all needs are met per the DRC.
  • Answer questions from students regarding schedules and events.

(10%) Administrative Team Shared Duties:

  • Serve as the back-up for the Division Administrator, Graduate Program Coordinator and Clinical Education Coordinator.
  • Work collectively with the PT staff team to plan and execute large Division events such as Graduation, White Coat Ceremony, Scholarship Dinner and new student orientation. Attend all Division events.
  • Participate in weekly meetings to update each other on projects and share ideas for new initiatives.
  • Maintain the general supply room and shared copy room - coordinate any maintenance needed on the copier.
  • Contact Facilities Management for building or repair issues.
  • Other duties as assigned.
Qualifications

All required qualifications must be documented on application materials.

Required Qualifications:

  • High School Diploma/GED and five years related experience to include project management.
  • Strong communication skills, judgment and ability to work collaboratively with faculty, staff, and residents.
  • Ability to develop professionally through increasing levels of responsibility.
  • Experience with strategic planning and department operations.
  • Strong attention to detail.
  • Ability to manage multiple tasks simultaneously, while prioritizing the most urgent tasks.

Preferred Qualifications:

  • Experience working in higher education.
  • Experience with the following applications: Destiny One Registration System, Astra class scheduling, UMarket or other procurement systems, EFS, Canvas, Katura, MediaSpace, and Collaborative Class scheduling (CCS).
  • Proficient with Google suite and Microsoft Office applications.

The Department of Family Medicine and Community Health at the University of Minnesota was created more than 50 years ago in response to a legislative mandate to train primary care physicians. Pay and Benefits

Pay Range: $24.07 to $35.41 per hour. We anticipate most offers will be around the midpoint of $25.02 to $28.64 per hour, depending on education and experience.
