Position Summary:

Reporting to the Payroll Manger, the Payroll Specialist will be responsible for the preparation of bi-weekly and off-cycle payrolls for the US and Canada, the related journal entries and account reconciliations, and other payroll related tasks as assigned.

Key Responsibilities Include:



  • Prepare/assist US payroll submission via Workday timely and accurately.
  • Prepare/assist Canada payroll submission via ADP Team Pay timely and accurately.
  • Ensure benefit changes are accurately and completely reflected in the appropriate US or Canada pay batches. (Example, benefit enrollment elections/changes from ADP HR module are flowing through to each pay batches accurately, 401(k) election changes are timely captured and any system errors are timely investigated and corrected.)
  • Coordinate with Workday and/or ADP on setting up new payroll codes timely under the guidance of the Payroll Manager.
  • Prepare/assist payroll and related benefit journal entries and reconcile payroll related general ledger accounts as required by the company's payroll procedures and SOX requirements.
  • Prepare/assist with State registrations
  • Maintains current knowledge of applicable US state and federal payroll compliance requirements.
  • Assist with special projects under the supervision of the Payroll Manager.
  • Protects payroll data and always maintains confidentiality.
  • Perform other duties as assigned by the Payroll Manager.


Education, Registration & Certification:



  • Bachelor's degree in accounting or finance.


Experience:



  • A minimum of 3 years of payroll processing experience.
  • Experience in the life science industry is preferred
  • Payroll related certifications are a plus (e.g., Certified Payroll Professional, Fundamental Payroll Certification, Certified Payroll Specialist)


Skills, Knowledge & Abilities:



  • Working knowledge of US federal and state payroll tax/reporting requirements.
  • Experience and proficiency with Workday and ADP is required.
  • Knowledge of equity taxation (NQ, RSU, ISO, ESPP) is a plus.
  • Detail oriented with the flexibility to meet reporting requests on short notice.
  • Proficiency with Microsoft Outlook, Word, Excel, Teams, etc.
  • Strong organizational and interpersonal skills.
  • Working knowledge of Blackline is a plus.
  • Working knowledge of SAP S4 Hana is a plus.
  • Demonstrate ability to work independently and collaborate to resolve issues.
  • Willingness to assume additional responsibility and learn new skills.
  • Good written and oral communication skills.


Physical Demands and Work Environment:

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary. This job operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Travel Requirements:



  • Up to 20% travel expected.
