About the Job

This position serves as an operational partner to the School of Dentistry's Associate Dean for Research, providing administrative assistance in all areas (maintaining calendars, ordering, correspondence, maintaining data, coordinating Research Committee meetings and recording minutes).

Along with the Associate Dean for Research, this position will provide assistance to the Grants Management Office and the Summer Research Program and Director.

This position is responsible for follow-up on Lasby Scholarship and pilot grant requests and event planning such as the Annual Research Updates and the IADR/AADR annual meetings sponsored by the Office of the Associate Dean for Research.

Administrative (60%)
* Serve as the administrative assistant to the Associate Dean for Research to develop, create, organize and implement strategic initiatives that are in alignment with the Schools' mission. Partner with senior administrators to develop/recommend short-term and long-term goals.
* Represent the Associate Dean for Research in communications to internal colleagues and to external partners/institutions.
* Compose and/or prepare correspondence, memoranda, promotional materials, forms, newsletters, manuals, training/program projects, etc.
* Assist with grant proposals and serve as a resource for information related to the management of grants and contracts.
* Develop computer-assisted processes, guidelines, procedures or tools.
* Design/maintain databases, websites.
* Plan events as requested on behalf of the Associate Dean for Research Office.
* Attend and administrate all research committee meetings.
* Perform all ordering through UMarket and EFS for equipment, office and lab supplies.
* Assist in calendaring for the Associate Dean for Research. Make all travel arrangements and provide reimbursement for expenses incurred.
* Provide assistance as needed and requested by the Grants Management Office.
* Provide assistance to the Summer Research Program reserving conference rooms and ordering lunches for weekly noon seminars, providing stipends for first year DDS SRP students and scholarships for the second year students. Provide reimbursements for those attending the annual meetings to present their research posters.

Liaison (10%)
* Build collaborative relationships while serving as the unit liaison on behalf of the Associate Dean for Research/School of Dentistry to outside entities to establish and maintain important relationships with professional, academic and community partners.
Communications (30%)
* Develop and direct effective communication strategies (internal - faculty, staff, students and external customers); coordinate efforts/priorities across multiple areas in the School.

Qualifications

Required Qualifications:
*High School Diploma/GED and four years of related office experience. Training/education may be substituted for some of the years of experience.
*Four years experience with MS Office (Word, excel, power point, etc)
*Experience with email and the internet (searching, communication, document sharing, etc)
*Experience preparing written communication for high level administrators or executives
*Experience working with a high level of confidentiality
*Experience with general bookkeeping and customer service practices

Pay and Benefits

Pay Range: $25.00 - $28.09 depending on education/qualifications/experience

Time Appointment Category: 75%-100% Appointment (If job description above does not specify appointment or expected weekly hours, assume a 100% appointment.)
