Job Description

We're looking for a detail-oriented and reliable Corporate Receptionist to be the welcoming face and operational support of our office. This role is central to the experience of everyone who walks through our doors, whether they're a visitor, a new hire, or a longtime teammate.

You'll do more than just greet guests and answer phones. You'll manage meetings, help onboard new hires, support leadership, and keep our workspace running smoothly and stocked with what we need. If you're someone who's proactive, organized, and loves helping people feel seen and supported, this is the role for you.

Within Your First 6 Months, You Will:

  • Plan and lead employee engagement activities: Coordinate quarterly happy hours, manage invites, track team birthdays and anniversaries, and ensure a thoughtful touch for appreciation, get well, and milestone moments.
  • Take initiative on small problems: Troubleshoot office issues and find solutions independently, building trust in your judgment.
  • Become a go-to team resource: Support leadership and HR on office events, team meetings, onboarding, and wellness efforts.

What You'll Do Day to Day:

  • Reception & Communication
    • Greet and assist guests warmly upon arrival
    • Answer and route incoming calls
    • Receive packages and manage mail distribution
    • Make copies and assist with ad hoc clerical needs
  • Office & Break Room Management
    • Keep conference rooms and break areas tidy and fully stocked
    • Order snacks, drinks, and office supplies
    • Track and reconcile supply invoices
  • Meeting & Event Coordination
    • Administer internal meetings (Program Management Review, Technical Review Board, Go to Market Days, Offsite events, Lunch & Learns, etc.)
    • Manage catering and logistics for working lunches
    • Partner with HR on planning and executing internal events
  • Administrative Support
    • Support expense reporting for senior team members
    • Assist leaders with occasional special tasks or projects
    • Help with new employee onboarding coordination
    • Maintain expense records and office cost tracking
  • Wellness & Culture
    • Help celebrate employee milestones: birthdays, anniversaries, new babies, appreciation gifts, and more
    • Keep a pulse on team morale and contribute to a positive workplace environment
Qualifications

Must-Haves

  • Ability to obtain a U.S. Security Clearance
  • Prior experience as a Receptionist, Administrative Specialist, or similar front-office role
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Strong written and verbal communication skills
  • Professional appearance and friendly, customer-focused demeanor
  • Excellent time management and organizational ability
  • Ability to problem-solve proactively and work independently
  • High School Diploma or equivalent

Physical Requirements:

  • Must be able to remain in a stationary position 50% of the time. The person in this position needs to occasionally move about inside the office
